Summary
Job Overview
-Responsible for supporting the tendering process and procurement strategy within the Gibraltar Mitie OPC Contract.
-To provide professional advice and support, as required or as directed by the CM to all tendering and procurement activity of the OPC contract.
-Responsible for the daily operation and line management of the procurement team.
Maintain a professional procurement and tendering practice, delivering high quality solutions to meet the business demands.
Main Duties
-Develop and maintain the relationship with all stakeholders, Mitie projects and stores teams.
-Focal point in the resolution of all COUPA P2P process and procurement/tendering issues between the Gibraltar Suppliers and the COUPA team.
-Oversee the On Boarding maintaining the contractor folder information updates.
-Liaising with the UK supply chain and the local QSHE manager.
-Oversee the tendering and RFQ processes supporting the PMs and Technical Officers and client in tender evaluations and document tracking.
-Record and track the use of all suppliers, capturing all feedback and lessons learned from projects.
-Create and maintain supplier relationship management (SRM) tools and processes to reduce commercial risk and ensure the supplier relationships are developed.
-Collects and analyse data relating to supplier performance to aid supplier development and or contract award.
-Liaise with border force and customs to track and manage materials required for the project and self-delivery works and ensure the importation exemption procedures are followed.
-Ensure that financial procedures and delegated financial authorities are adhered to.
-Control the Purchase Order (PO) and monthly Cash Book reports for the CM and UK finance team.
-Responsible for the request of funds from the UK for all local supplier payments on a monthly or need basis.
-Undertake managerial responsibility to identify training and development and functional needs of the staff through the Company's MiReview system, paying particular attention to team building and client/customer relationships.
-Attend weekly/monthly contract review meetings with DIO. Cascade resulting messages and information to contract team
-Provide technical assistance and professional support to other staff to support OPC activities at all sites, as directed by the CM
-Responsible for the collation of the monthly report, ensuring all data, evidence and information is in line with the contract requirements
