Summary
Administrator / Administrative Assistant
This is a varied opportunity combining general administration with an important element of reprographics work, including printing, photocopying, laminating, binding and producing materials for staff and students. Previous experience using Microsoft Office and Publisher is essential, together with strong organisational skills and the ability to prioritise a busy workload.

SALARY: £21,476 actual annual salary (£25,614 FTE) + Benefits

WORKING HOURS: 37 hours per week, 38 weeks per year. 8.00am–4.00pm Monday to Thursday and 8.00am–3.30pm Friday
JOB OVERVIEW
This is an exciting opportunity for an Administrator / Administrative Assistant to join a supportive education environment and play an important part in providing an efficient resources and administration service for staff and students.
Working across a varied workload, the Administrator / Administrative Assistant will coordinate requests, prepare teaching and school materials, maintain stock levels, liaise with suppliers and colleagues, support internal reporting and assist with general administration and reception cover. The position also involves operating reprographic equipment and helping to keep the resources area organised, secure and compliant.
The successful Administrator / Administrative Assistant will be flexible, reliable and enthusiastic, with the ability to manage competing priorities and communicate positively with students, staff and visitors.
DUTIES
Your duties as the Administrator / Administrative Assistant include:
• Reprographics Support: Produce teaching resources, reports, examination materials, booklets and other documents through printing, photocopying, laminating, stapling and binding
• Request Management: Prioritise reprographics requests, organise your workload and liaise with staff regarding queries and requirements
• Document Production: Reformat documents and provide word-processing and desktop-publishing support for worksheets, booklets, posters, planners, certificates and other materials
• Equipment Support: Operate reprographic equipment, replenish consumables, clear basic paper jams, address user errors and arrange maintenance support when needed
• Stock Control: Monitor and order paper, card, toner and other consumables and maintain appropriate stock levels
• Supplier Liaison: Deal with suppliers regarding orders, stock, returns and queries and support Finance with quotations, contracts and invoices
• Cost Monitoring: Maintain printing accounts, cost jobs, support departmental cross-charging and prepare printing, copying and paper-usage information
• Administrative Support: Carry out general administration, respond efficiently to enquiries and provide reception and LRC cover when required
• Compliance & Security: Follow copyright, health and safety, COSHH, safe-storage, waste-disposal and resources-area security requirements
• First Aid Support: Support or deputise for the First Aid room as necessary and hold a First Aid certificate as required by the post

• Previous experience using Microsoft Office and Publisher
• Good organisational skills with the ability to prioritise competing workloads
