We have a fantastic new job opportunity for an enthusiastic, organised and efficient person to join a busy school reception team, acting as a welcoming first point of contact for visitors, parents, carers, staff and pupils.

SALARY: Actual Salary for 38 Weeks per Year £21,041 (£25,614 per annum FTE)

LOCATION: Hedge End, Southampton, Hampshire

JOB TYPE: Full-Time, Permanent

WORKING HOURS: 36.25 hours per week, 7.45am to 3.30pm Monday to Friday, term-time only, currently 38 weeks per year

JOB OVERVIEW

This is a rewarding opportunity for a Receptionist / Administrator who enjoys working with people, providing excellent customer service and helping to maintain a professional, welcoming and well-organised reception area.

As a Receptionist / Administrator, you will provide a daily switchboard and reception service, respond to telephone and email enquiries, meet and greet visitors and support the smooth running of front-of-house administration.

The Receptionist / Administrator will also help maintain electronic records, support meeting room bookings, assist with pupil and staff enquiries and use school systems to provide accurate administrative support when required.

DUTIES

Your duties as the Receptionist / Administrator include:

• Provide Reception Support: Deliver a professional, friendly and efficient front-of-house and switchboard service each day

• Meet and Greet Visitors: Welcome visitors, parents, carers, staff and pupils, ensuring enquiries are handled quickly and appropriately

• Maintain Visitor Records: Keep electronic staff and visitor sign-in and sign-out records up to date, following DBS and fire evacuation requirements

• Keep Reception Presentable: Ensure the reception area remains smart, tidy, organised and welcoming at all times

• Manage Booking Forms: Update and maintain electronic meeting room booking forms

• Maintain Contact Information: Update telephone lists and support accurate internal communication

• Support Pupil and Staff Enquiries: Assist in locating pupils and teachers and deal with general enquiries from visitors, staff and pupils

• Use School Systems: Use SIMS to print timetables, class lists and reports, and assist with updating student absences where required

• Support Administration: Assist with computer-based administrative systems and provide back-up support during administrative staff absence

• Follow Safeguarding Procedures: Work in line with safeguarding, DBS, health and safety regulations and agreed codes of practice

CANDIDATE REQUIREMENTS

• Excellent verbal and written communication skills

• Confident, professional and friendly manner when dealing with visitors, parents, carers, staff and pupils

• Good organisational skills with the ability to manage a busy reception desk

• Ability to use Microsoft Office, including Word, Outlook and general administrative systems

• Able to work independently and as part of a team

• Flexible approach to work, with the ability to respond positively when priorities change

• Tact, diplomacy, patience and a calm approach when dealing with different enquiries

• A genuine interest in supporting young people and contributing to a welcoming school environment

• Willingness to follow safeguarding, DBS, health and safety and school procedures
