Summary

ACTS is looking for a new Wills and Lasting Power of Attorney Specialist to join the team.

Purpose: Working within a wider Information, Advice and Guidance (IAG) team to deliver a paid-for service including Court of Protection, Wills and Lasting Power of Attorney. This role works with people and their families to deliver the paid-for elements of our IAG service, scribing and crafting clients legal documents and ensuring clients wishes are accurately documented and legally sound. Working with ACTS finance officer to create robust systems based on efficient and accurate recording of activity.

Key Responsibilities:

• Client Consultations: Conduct client meetings at the ACTS office or outreach location by prior appointment to gather instructions for straightforward Wills. Listen attentively to clients' needs and preferences to ensure their wishes are accurately documented.

• Record activity on CRM system under clients details

• Document Preparation: Efficiently prepare, explain, and draft Will documents based on the client's instructions. Submit draft documents for client review and approval promptly, aiming for same-day or within 24-hour turnaround.

• Follow ACTS process and procedures for Wills, Court Of Protection & Lasting Power of Attorney

• Financial Transactions: Present the invoice to clients promptly, ensuring immediate settlement. Handle financial transactions with the utmost professionalism and accuracy following Age Concern Tyneside South Policies.

• Hold regular meetings to work with ACTS finance officer to maintain and have overview of financial control systems, including the making up and chasing up of payments.

• Internal referral within IAG: Recognise and refer complex cases outside of the remit of this post to ACTS IAG team. Collaborate with colleagues to ensure clients receive comprehensive and specialised advice when necessary.

• Maintain accurate and timely records and maintain case records using organisations Management Information System

• Monitor and evidence the work of the service and to help gather, update and organise relevant information to produce reports and statistics from appropriate sources

• Prepare monthly reports for management and board as requested

• Where appropriate, to work with other agencies in contributing to the development of the service

• Attend necessary training sessions and meetings in order to remain up to date on developments and issues affecting local people

• Undertake training and development as required. Also to assist, where appropriate and necessary, with the training and development of colleagues.

• Keep up to date with relevant laws, policies and procedures

• Ensure service users information is secure and shared through secure processes.

• Carry out tasks according to Age Concern Tyneside South policies and standards, including the confidentiality, anti-discrimination and health and safety policies.

• Undertake any other duties commensurate with the purpose and remit of the post.
