Summary

Job Purpose To provide a professional, efficient, and friendly reception and administrative service to patients, clinicians, and colleagues. As the first point of contact for the practice, the GP Receptionist plays a key role in delivering excellent patient care and ensuring the smooth day-to-day running of the surgery. Main Duties and ResponsibilitiesReception Duties Welcome patients and visitors in a courteous and professional manner. Deal with patient enquiries both face-to-face and over the telephone. Book, amend, and cancel patient appointments in accordance with practice procedures. Signpost patients to the most appropriate healthcare professional or service when required. Manage the patient waiting area and ensure confidentiality is maintained at all times. Handle patient registrations and update patient records as necessary. Administrative Duties Process incoming and outgoing correspondence promptly and accurately. Scan, code, and file documents using Docman 10. Support clinicians and the wider practice team with administrative tasks. Prepare and distribute letters, forms, and other documentation as required. Maintain accurate electronic patient records. Clinical Systems Responsibilities Use EMIS Web to manage appointments, patient records, and administrative tasks. Use AccuRx to communicate with patients and support clinical workflows. Process clinical correspondence and documentation in line with practice protocols. Ensure information is entered accurately and in a timely manner. Telephone Duties Answer telephone calls professionally and efficiently. Respond appropriately to patient requests and queries. Direct calls to the relevant members of the practice team when necessary. Manage high volumes of calls during busy periods whilst maintaining excellent customer service. Confidentiality and Data Protection Maintain strict patient confidentiality at all times. Adhere to GDPR, NHS Confidentiality Guidelines, and Practice Policies. Ensure all patient information is handled securely and appropriately. General Responsibilities Work effectively as part of the multidisciplinary team. Participate in staff meetings and mandatory training. Maintain a flexible approach to work and provide cover for colleagues when required. Contribute to the continuous improvement of practice services and patient experience. Undertake any other reasonable duties appropriate to the role as requested by the Practice Manager or Partners.
