Job Title: Head of CEO Office
Reporting to: Deputy CEO
Salary Range: £55,000 -£60,000 per annum
Contract Type: Permanent
Location: Hybrid, London-based, willing to travel as needed
Hours/Days per week: 35 hours, Monday to Friday, normally 9.00am – 5.00pm or 5.30pm, with flexibility for evening Board and committee meetings.

Purpose of the Job
The Head of CEO Office is the central coordinating role supporting the CEO, Deputy CEO, Executive Leadership Team, Board and its committees. They ensure that priorities, decisions, information, risks and actions flow effectively between these groups and across the organisation.
The role brings structure and pace to leadership and governance, ensuring meetings are prepared, actions owned and commitments delivered.
As a trusted partner to the CEO and Deputy CEO, the role coordinates priorities, risks, decisions and dependencies; drives actions; challenges slippage; and escalates issues.
They lead the Executive Assistant and Governance Manager and ensure ELT, the Board and its committees operate effectively.
Duties and Responsibilities
Your normal duties and responsibilities will be set out in your job description. However, the charity may require you to perform other duties from time to time.
1. Governance & Board Support
- Oversee the governance cycle across ELT, the Board, FAR and other committees.
- Coordinate forward plans, agendas, paper deadlines, meeting logistics and decision points across ELT, the Board, FAR and other committees. Plan diaries and sequence meetings so that papers are developed, reviewed and approved in time, and decisions that intersect between forums are taken in the right order.
- Work with the Governance Manager and Chief Finance Officer to deliver governance and assurance requirements and support trustee engagement.
- Coordinate the corporate risk register, bring it regularly to ELT for review and maintain a sensible, consistent assessment of risks, controls, mitigations and actions, with clear ownership and appropriate reporting to FAR and the Board.
- Coordinate wider organisational risk, connecting and escalating significant or cross-cutting issues through the appropriate governance routes.
2. Executive Coordination
- Coordinate ELT planning with the Chief Transformation Officer, focusing meetings on priority decisions, performance, management information and risk.
- Connect teams and functions around key priorities and dependencies, maintaining an integrated view of diaries, paper timetables, meetings and decision points where workstreams or governance forums intersect.
- Coordinate concise, accurate management information for ELT, the Board and committees, creating clear pre-reads and exceptional slide packs that distil performance, priorities, risks and delivery into focused, decision-ready materials.
- Maintain a single view of decisions, actions and commitments from ELT, the Board and committees, with clear owners and deadlines; follow up delivery, challenge slippage and escalate where required.
3. CEO and Deputy CEO (DCEO) Support
- Provide the CEO and Deputy CEO with coordinated oversight of major priorities, risks, decisions, dependencies and emerging issues.
- Prepare concise briefings and dashboards highlighting decisions, risks and areas requiring intervention.
4. Leadership of the CEO Office Team
- Lead, manage and develop the Executive Assistant and Governance Manager, creating a high-performing, collaborative and supportive CEO Office team.
- Manage team performance, development and wellbeing, enabling independent delivery.

Person Specification
Relevant Experience
- Experience working closely with senior leaders and trustees in a governance, CEO Office, executive support, Chief of Staff or programme management role.
- Experience coordinating agendas, Board papers and actions, and producing high-quality pre-reads, management information and exceptional slide packs that support effective discussion and decision-making.
- Experience coordinating corporate risk, reporting and governance processes.
- Experience driving complex actions and priorities through to completion.
Technical & Professional Skills
- Excellent written and verbal communication, with the ability to understand complex information and ideas, identify what matters and simplify them into clear, concise and actionable insight for senior leaders and trustees.
- Strong analysis, judgement and problem-solving skills.
- Outstanding organisation and planning, with close attention to detail and strategic priorities.
- High proficiency in Microsoft Office and collaboration tools, including PowerPoint, Word, Outlook, Teams and SharePoint.
Essential Criteria
Exceptional emotional intelligence, judgement and discretion, with the credibility to build trusted relationships and work effectively across the CEO, Deputy CEO, senior leaders, the Board and its committees.
Outstanding organisation and coordination, able to anticipate needs, connect people and priorities, manage competing demands and maintain attention to detail.
