Summary

Business Administrator / Client Coordinator | North East England | Part Time | £14.00–£15.00 per hour

Our client, Prime Property Surveyors Ltd, is an independent RICS-regulated residential surveying practice operating across Newcastle, Northumberland, North Tyneside, Gateshead and County Durham. They provide RICS Level 2 Home Surveys, RICS Level 3 Building Surveys, residential valuations and specialist property inspections.

As the business continues to grow, they are looking for an organised and proactive Administrator to become a key part of their team.

The Role

This is a client-facing administration position where you will be one of the main points of contact between clients, surveyors and the business. You will help ensure enquiries are followed up, surveys are booked efficiently, and clients receive a high level of service.

The role would suit someone highly organised, confident speaking with customers and comfortable taking ownership of their workload.

The role is approximately 25 hours per week, ideally working 5 hours per day across 5 days. There may be some flexibility to condense the hours into 4 days for the right person. There is scope for the hours and level of responsibility to increase as the business grows.

Key Responsibilities

• Answer incoming telephone calls and deal with new and existing client enquiries

• Follow up quotations by telephone and email and help convert enquiries into confirmed bookings

• Book surveys and coordinate access with clients, estate agents and vendors

• Manage surveyors’ diaries and allocate appointments efficiently

• Send terms of engagement and monitor outstanding client documentation

• Maintain accurate client records within the CRM system

• Prepare and populate client files with the information required by surveyors before inspections

• Maintain weekly survey, income and workload trackers

• Monitor survey progress and report deadlines

• Liaise with clients following inspections where required

• Support referral-partner administration and tracking

• Obtain and process surveyors’ monthly mileage information

• Assist with invoicing and general business administration

• Support the Managing Director with the day-to-day organisation of the business

• Help improve administrative systems and processes as the company grows

• Explain the differences between survey types and communicate the level of inspection and service provided

Requirements

Essential

• Extremely organised, reliable and able to manage several priorities and deadlines

• Confident, friendly and professional on the telephone

• Comfortable dealing directly with clients and following up enquiries

• Proactive and able to take ownership of tasks

• Comfortable using CRM systems, Microsoft Office, spreadsheets and email

• Commercially minded and comfortable helping convert enquiries into bookings

• Able to work independently within a small, growing business

• Interested in taking on additional responsibility as the company expands

Desirable

• Previous experience within surveying, property, estate agency, professional services or a similar client-facing environment
