Summary

Are you a confident, organised and approachable Receptionist looking for your next opportunity?

Our client is seeking a Receptionist to join their team and become an integral part of their busy office environment.

This role would suit someone who enjoys being the first point of contact, takes pride in delivering excellent service and is equally comfortable providing day-to-day administrative support behind the scenes.

About the role

You will play a key part in ensuring the reception area and wider office operate efficiently. From welcoming visitors and managing calls through to coordinating meeting rooms and supporting the administration team, no two days are likely to be exactly the same.

Your responsibilities will include:

Providing a professional and welcoming reception service to visitors and guests.

Managing incoming calls, directing enquiries to the appropriate person and taking clear messages when required.

Controlling visitor access and ensuring company procedures are followed.

Organising meeting room bookings and helping to maintain a professional meeting environment.

Receiving, sorting and distributing incoming post.

Recording incoming cheques and managing outgoing post and courier arrangements.

Keeping office stationery levels under review and arranging replenishment when required.

Ordering business cards and other office requirements.

Supporting the processing of purchase invoices, including recording, scanning, distributing for approval and updating the internal system.

Providing general administrative assistance to colleagues across the business.

Helping maintain a tidy, professional and well-organised office environment.

Working collaboratively with the wider administration team and providing support where needed.

Identifying opportunities to improve processes and making suggestions for more efficient ways of working.

Following all relevant company policies, including health and safety and clean desk procedures.

Carrying out other reasonable administrative duties as required by the business.

What we’re looking for

We’re looking for someone who is professional, personable and naturally organised, with the confidence to deal with a wide range of people.

You will ideally have:

Previous experience in a reception, front-of-house or office administration position.

Excellent communication and interpersonal skills.

A professional and friendly manner.

Strong organisational skills and the ability to prioritise competing tasks.

Good attention to detail and the ability to meet deadlines.

A flexible approach and the ability to adapt as the business develops.

A proactive attitude, with the confidence to use your initiative and resolve issues within your remit.

The ability to recognise when an issue needs to be escalated.

A team-focused attitude and willingness to support colleagues.

A genuine interest in finding ways to improve processes and the service provided.

Good working knowledge of Microsoft Word and Excel.
