Receive, sort, and distribute incoming mail, parcels, and courier deliveries across hospital departments and wards.
Collect outgoing mail from designated collection points and prepare items for dispatch.
Process recorded, tracked, confidential, and special delivery items in accordance with established procedures.
Ensure urgent and time-sensitive correspondence is delivered promptly.
Maintain accurate records of incoming and outgoing tracked mail and courier shipments.
Operate and maintain franking equipment and ensure the correct postage is applied.
Deliver and collect mail from clinical and non-clinical areas including wards, outpatient departments, offices, theatres, laboratories, and support service departments.
Handle confidential patient information and sensitive documentation in accordance with Information Governance and Data Protection requirements.
Provide a courteous, professional, and responsive service to hospital staff, patients, visitors, and external contractors.
Respond promptly to enquiries relating to mail deliveries and collections.
Promote positive working relationships with internal departments and external postal and courier providers.
Ensure secure handling and storage of mail and parcels at all times.
Maintain a clean, organised, and safe mailroom environment.
Assist with departmental audits and service performance reporting as required.
Person Specification
Good standard of literacy and numeracy.
Excellent organisational skills and attention to detail.
Ability to communicate effectively with staff at all levels.
Ability to work independently and as part of a team.
Ability to undertake frequent walking and manual handling activities across a large hospital site.
Understanding of the importance of confidentiality and professional conduct.
Desirable Criteria
Previous experience in a mailroom, logistics, facilities, or healthcare support role.
Experience using franking machines, tracking systems, or courier management software.
Knowledge of Information Governance and Data Protection principles.
