Summary

Broughton After School Club (BASC) provides after-school and holiday childcare for children attending Broughton Primary School. We are looking for an organised, reliable and experienced Bookkeeper Administrator to support the Manager with the day-to-day financial administration of the Club.

This is a small but important role within the organisation. You will be responsible for keeping our financial records accurate and up to date, reconciling payments from different sources, following up outstanding balances and supporting the Manager with the financial organisation of the Club.

The Role

We are looking for someone who is confident working independently, has excellent attention to detail and understands bookkeeping and account reconciliation.

The successful candidate will ideally have experience with Xero, bank reconciliations and different childcare payment systems. Experience with Tax-Free Childcare, childcare vouchers and Stripe would be highly desirable.

Main Responsibilities

• Reconcile the Club's Xero accounts with the business bank account.

• Keep financial records and account books accurate and up to date on a weekly basis.

• Reconcile payments received through Kids Club HQ with payments appearing in the Club's financial records.

• Check and record how parents have paid, including card payments, Tax-Free Childcare, childcare vouchers and other payment methods.

• Monitor outstanding parent balances and follow up with parents where payments are overdue.

• Liaise with the Manager regarding unpaid accounts and payment discrepancies.

• Identify and investigate discrepancies between Kids Club HQ, payment providers, bank records and Xero.

• Support the Manager in monitoring the Club's financial position and maintaining financial stability.

• Assist with the annual re-registration and new registration process, particularly during the busy registration period in May.

• Provide general bookkeeping and financial administration support to the Manager as required.

Essential Skills and Experience

• Previous experience in bookkeeping or finance administration.

• Good understanding of bank reconciliation and maintaining accurate financial records.

• Excellent attention to detail.

• Strong organisational and time-management skills.

• Ability to work independently and meet agreed deadlines.

• Good communication skills.

• Confidence handling confidential financial information.

• Good IT skills.

Desirable Experience

• Xero

• Kids Club HQ or another childcare booking/payment system

• Stripe

• Tax-Free Childcare

• Childcare voucher schemes

• Working with small businesses, childcare organisations or community organisations

• Parent/customer account management and debt chasing

Training can be provided on BASC's specific systems and procedures for the right candidate.
