As a Mechanical Transport Administrator on Ascension Island, you will support the day-to-day management of the Mechanical Transport fleet, working closely with transport and vehicle-maintenance teams to help keep vehicles, records and operational requirements effectively coordinated.

This is a 12-month fixed-term maternity cover role within a varied Defence environment.

The RoleYou will provide fleet, transport and vehicle-maintenance administration, ensuring the information needed to support the Mechanical Transport operation is accurate and up to date.

The role combines fleet coordination, record management and general administration and requires good organisation, attention to detail and the ability to prioritise competing requirements.

Key Responsibilities

-Coordinate vehicle allocation and maintain accurate records of fleet usage and mileage/hours.

-Maintain vehicle servicing, maintenance and defect records, liaising with transport and maintenance teams as required.

-Maintain vehicle and driver documentation, including licensing, testing, permits, authorisations and training records, identifying upcoming renewals, expiries and required actions.

-Process transport requests and associated documentation, ensuring suitable vehicles and appropriately authorised drivers are allocated.

-Monitor vehicle availability and serviceability to support operational planning and routine fleet reporting.

-Maintain fleet-management databases and systems, ensuring information is accurate and current.

-Support the coordination of scheduled servicing and maintenance and follow up outstanding actions where required.

-Raise and monitor work-service requests relating to Mechanical Transport and vehicle maintenance.

-Maintain records and documentation in accordance with company, Defence, confidentiality and information-security requirements.

-Provide general administrative support, including answering enquiries, recording meeting minutes and assisting colleagues and customers.

-Undertake occasional driving duties as required.

-Undertake other reasonable duties as required to support the Mechanical Transport operation.

What We Are Looking ForEssential

-Relevant administrative experience, ideally gained within a fleet, transport, workshop, vehicle-maintenance, facilities or similar environment.

-A full, clean UK driving licence, or recognised equivalent.

-Good literacy and numeracy skills with strong attention to detail.

-Good IT capabilities, with confidence using Microsoft Office and database or record-management systems.

-Strong organisational skills and the ability to prioritise competing operational and administrative requirements while maintaining accuracy.

-Good communication and interpersonal skills, with the ability to work effectively with colleagues, customers, managers and operational teams.

-Ability to work independently and as part of a team.

-A responsible approach to confidentiality and information security.

-A strong commitment to Health & Safety and relevant company and operational procedures.

Desirable

-Previous experience of fleet or vehicle-maintenance administration.

-Experience using the JAMES fleet-management system.

-Previous experience within a Defence, airfield or similar operational environment.
