Help Support and Improve a Specialist Operational Team
An exciting opportunity has arisen to join Winchester City Council's Special Maintenance Team as a Special Maintenance Support Officer.
We are looking for an organised, proactive and confident administrator who can provide essential support to a busy operational team based at our Winnall depot. This role offers the opportunity to take ownership of a wide variety of administrative and coordination activities while helping the team continue its transition towards more efficient digital ways of working, including the use of Microsoft 365 technologies.
Working closely with the Special Maintenance Manager and operational staff, you will play a key role in ensuring services run smoothly, supporting both office-based and field-based colleagues, and contributing ideas that help improve processes and ways of working.
The Role
Based at our Winnall Depot, you will provide day-to-day administrative and operational support to ensure the efficient running of the Special Maintenance Team.
Key responsibilities will include:
• Supporting the management and coordination of operational activities.
• Preparing reports, correspondence, meeting notes and operational documentation.
• Raising and monitoring purchase orders and supporting financial processes.
• Liaising with suppliers, contractors and colleagues across the Council.
• Supporting field-based teams through the preparation and distribution of work information and documentation.
• Assisting with the coordination of workloads and deployment of resources where required.
• Managing depot administration, including deliveries, stock control, office supplies and PPE inventories.
• Handling telephone and email enquiries professionally and efficiently.
• Supporting the continued implementation of digital systems and Microsoft 365 tools.
• Maintaining accurate records and assisting with compliance documentation.
As the team continues to develop its digital capabilities, many traditional paper-based processes are being transitioned to electronic systems. This role will play an important part in supporting those improvements and helping ensure information is managed efficiently and effectively.
About You
We're looking for someone who is organised, adaptable and capable of working independently in a fast-paced operational environment.
You will ideally have:
• Previous experience in an administrative, business support or office-based role.
• Excellent organisational and communication skills.
• The ability to manage competing priorities and meet deadlines.
• Strong attention to detail and a methodical approach to work.
• Confidence working both independently and as part of a team.
• Good IT skills, particularly Microsoft Outlook, Word and Excel.
• A positive attitude towards change and continuous improvement.
• The confidence to communicate effectively with colleagues, suppliers and stakeholders at all levels.
• An interest in learning and utilising new digital technologies and systems.
Experience of Microsoft 365 applications, including Teams, SharePoint and OneNote, would be advantageous, although full training will be provided.
Working Environment
The role is primarily based at Winnall Depot, with occasional visits to the City Offices for meetings, training and other business activities.
As the operational hub for a specialist field-based team, no two days are the same. The environment can range from busy and demanding to quieter periods requiring independent working and self-motivation. The successful candidate will be confident working in a depot environment and comfortable managing a varied workload.
Out of Hours Support
The Special Maintenance Team occasionally responds to emergency and out-of-hours situations. While rare, there may be occasions where additional support is required outside normal working hours, for which appropriate overtime arrangements would apply.
