About the Role

A growing business within the waste and resource recovery sector is looking for a highly organised Maintenance Administrator to support the day-to-day coordination of an equipment maintenance operation in Bromborough.

The role combines administration, scheduling, customer service and maintenance coordination. You will help schedule engineers and subcontractors, monitor maintenance requests, keep customers informed, maintain accurate records and support quotations, invoices, purchasing and equipment mobilisation activity.

This is a busy role requiring excellent organisation, accurate system administration and confidence communicating with customers, engineers, suppliers and internal teams.

  • Experience supporting maintenance or engineering operations is highly beneficial

Key Responsibilities

  • Help plan and monitor preventative maintenance schedules

  • Schedule work for internal engineers and external subcontractors

  • Monitor maintenance requests and breakdown enquiries

  • Liaise with customers regarding planned maintenance, repairs and outstanding work

  • Chase engineers and contractors to ensure issues are resolved

  • Keep customers updated throughout maintenance and repair activity

  • Maintain accurate inspection, servicing and repair records

  • Update internal systems accurately and promptly

  • Investigate outstanding work and help minimise equipment downtime

  • Raise and process customer and supplier purchase orders

  • Process invoices and maintain accurate customer and supplier accounts

  • Produce quotations and support them through to approval

  • Order equipment, parts and consumables

  • Produce and process equipment training certificates

  • Update customer and supplier portals

  • Support equipment mobilisation activity

  • Build effective relationships with customers, account managers, sales teams, engineers, suppliers and contractors

  • Ensure safety, compliance, cost control and customer service remain central to all activity

What We're Looking For

  • Previous administration, coordination or maintenance-support experience

  • Experience planning and organising maintenance tasks or engineering workloads

  • Strong organisational skills

  • Ability to manage competing priorities

  • Proactive approach to following up outstanding work

  • Excellent customer service and communication skills

  • Strong attention to detail and accurate data entry

  • Confidence using Microsoft Office

  • Experience using CRM, ERP or maintenance-management systems

  • Ability to communicate effectively with customers, engineers, suppliers and colleagues

  • Resilient and flexible approach

  • Ability to work under pressure

  • Confidence using initiative and making timely decisions

  • Evidence of recent training or continued professional development
