Summary

Role Purpose

To provide operational support to the Purchasing Team, acting as a key link between suppliers, Purchasing, Customer Services and Warehouse teams. The role will coordinate inbound stock, resolve delivery and product issues, maintain accurate information and ensure teams receive timely updates on stock availability.

Supplier & Purchasing Coordination

Manage day-to-day supplier communication, including ETAs, delivery schedules, outstanding purchase orders and supplier queries.

Monitor inbound deliveries and supplier performance, escalating delays, shortages and recurring issues where required.

Maintain accurate supplier information, lead times and purchasing records, and raise purchase orders as required.

Stock & Warehouse Coordination

Act as the main operational link between Purchasing and Warehouse teams, managing issues relating to damaged, missing, quarantined or incorrect stock.

Coordinate investigations and claims with suppliers, tracking issues through to resolution and communicating outcomes to internal teams.

Customer Service & Product Support

Provide Customer Services with accurate information regarding stock availability, delays and incoming deliveries.

Coordinate supplier samples and support investigations relating to product complaints, quality issues, recalls and withdrawals.

Systems, Reporting & Communication

Maintain accurate ERP and internal records relating to suppliers, deliveries, product issues and service performance.

Produce monthly promotional data and analysis and communicate relevant information to internal teams and suppliers.

Ensure key updates, including supplier closures, short-dated stock and significant supply issues, are communicated promptly.

Key Skills & Experience

Highly organised with strong attention to detail and the ability to manage multiple priorities.

Confident communicator with the ability to build effective supplier and internal relationships.

Proactive and practical approach to problem-solving and issue resolution.

Confident using ERP systems, Microsoft Excel and Outlook.

Previous experience in purchasing, procurement, supply chain or operational coordination would be advantageous.
