Summary
MAIN DUTIES & RESPONSIBILITIES 1. To provide administrative and practical support to the Outreach and Education Team to assist with the effective delivery of health promotion, education and outreach activities. 2. To support the management and organisation of outreach and health promotion resources, including maintaining stock levels, undertaking regular stock checks and supporting stock audits. 3. To support with stock requisitions, ensuring requests are accurately recorded and processed in a timely manner, and that appropriate levels of resources are available for planned activities and events. 4. To support the team with general administration tasks, including data collection, data entry, maintaining records and preparing information for monitoring and reporting purposes. 5. To support the administration and coordination of training sessions and events, including using platforms such as Eventbrite to upload training opportunities, maintain event information and support participant bookings where required. 6. To support the preparation and organisation of outreach events, including ensuring appropriate resources, promotional materials and equipment are available and ready for delivery. 7. To provide practical support at outreach events and health promotion activities, working alongside members of the team and partner organisations to ensure activities run effectively. 8. To assist with the distribution and organisation of health promotion resources and materials, ensuring resources are appropriately stored, recorded and available for use. 9. To maintain accurate records relating to stock, events, training, outreach activity and other administrative functions, in accordance with relevant information governance and service procedures. 10. To support the team with the collection and collation of monitoring information relating to outreach and health promotion interventions, contributing to service reports as required. 11. To establish and maintain effective working relationships with members of the Outreach and Education Team and relevant partner agencies, providing a professional and helpful point of contact where appropriate. 12. To support the organisation and promotion of health promotion campaigns, events and activities, including World AIDS Day, National HIV Testing Week, Sexual Health Week, LGBT+ History Month, Pride, Black History Month and other relevant promotions and events. 13. To support the team with the coordination and preparation of materials for professional training, community education sessions and other health promotion activities. 14. To assist with maintaining calendars, event schedules, meeting minutes and actions and other administrative systems to support the effective planning and coordination of team activities. 15. To ensure that all administrative and support activities are undertaken in accordance with relevant organisational policies and procedures, including information governance, confidentiality, safeguarding and health and safety requirements. 16. To manage own workload effectively, prioritising tasks according to service requirements and communicating with the line manager regarding workload, deadlines and any issues that may affect delivery. 17. To work flexibly to meet the developing needs of the service and its service users across a wide geographical area. This may include supporting outreach events during evenings and weekends where required.
