We are seeking a Facilities Coordinator to support the delivery of facilities management services across a multi-tenanted site.

​The role will act as a central point of contact for facilities-related activities, managing administration, documentation, purchase orders, contractor coordination, and supporting the Facilities Manager when required.

Job Description

We are looking for a proactive and organised individual who can help ensure service excellence, effective health and safety compliance, strong stakeholder relationships, and the successful delivery of agreed service levels.

​The role involves close collaboration with maintenance providers, site teams, contractors, clients, and visitors.

Key Responsibilities

Support the day-to-day delivery of total facilities management services across the site.

Liaise regularly with mobile maintenance teams to monitor planned preventative maintenance (PPM) activities and reactive repair works.

Manage work orders and coordinate contractors and technical resources to ensure timely completion of maintenance requests.

Raise and manage purchase orders in line with budget controls and maintain accurate records.

Support budgetary objectives through supplier and service cost reviews.

Administer site security processes, access cards, inductions, business continuity documentation, and incident records.

Coordinate meeting rooms, audio visual equipment, office supplies, furniture moves, and workplace requirements.

Act as a key point of contact for clients, visitors, contractors, and internal stakeholders, providing a professional facilities service.

Professional and Personal Competencies/Qualifications

Proactive and positive attitude.

Strong verbal and written communication skills.

Ability to work effectively as part of a team.

Capable of working independently, to deadlines, and under pressure.

Good knowledge of facilities management services.

Awareness and understanding of health and safety requirements.

Strong administrative and organisational skills.

Experience coordinating contractors, documentation, and site processes.
