Summary

Job Description Job title: Medical Secretary Hours: 37.5 hours per week Salary: £24,500£27,375 per annum Contract: Full-time, Permanent Location: In person Job Summary The post-holder will undertake a wide range of medical secretarial and administrative duties, providing effective administrative support to the multidisciplinary team. The role involves processing information in a timely and accurate manner, managing referrals and correspondence, liaising with multidisciplinary team members and external healthcare providers, and supporting the smooth delivery of patient services. The post-holder will also process Subject Access Requests (SARs), Patient Medical Access Requests (PMARs) and other requests for patient information accurately and promptly. Key Responsibilities Process referrals using the Electronic Referral Service (e-RS). Process requests for information, including SARs, PMARs and DVLA forms. Process patient letter requests and invoices for private work. Prepare and word-process reports and associated documentation. Liaise with hospitals, community services and other healthcare providers to ensure referrals are processed efficiently. Manage administrative enquiries effectively and appropriately. Maintain an accurate referrals database and undertake appropriate safety-netting. Answer incoming telephone calls and deal with queries appropriately. Process online referral queries. Scan and attach correspondence and other documentation to patient records. Input and update information accurately within patient healthcare records. Process incoming and outgoing post, including preparing post for Royal Mail. Process discharge summaries and ensure these are appropriately filed within patient records. Conduct system searches as requested. Support reception and administrative colleagues during periods of absence. Service meetings by circulating agendas, taking minutes and preparing records. Carry out general office and administrative duties, including photocopying, emailing and taking messages. Maintain stationery supplies and staff refreshments. Support clinical staff with administrative tasks as required. Maintain a clean, tidy and effective working environment. Regularly review and update secretarial protocols and procedures. Support the management of QOF and Enhanced Services. Maintain and update document templates on EMIS Web. Undertake any other appropriate duties as required by the practice. Person Specification Qualifications Essential Educated to GCSE level or equivalent. Qualifications Desirable GCSE English and Mathematics, Grade C or above or equivalent. NVQ Level 2 in Health and Social Care or equivalent. Experience Essential Experience of working with the general public. Experience of undertaking administrative duties. Previous experience working as a Medical Secretary in a healthcare setting. Experience of working within a GP practice or primary care environment. Skills Essential Excellent written and verbal communication skills. Strong IT and word-processing skills. Clear, polite and professional telephone manner. Competent in Microsoft Office and Outlook. Good organisational and time-management skills. Ability to prioritise and manage a varied workload. Effective teamworking and interpersonal skills. Good problem-solving and analytical skills. Ability to work accurately and maintain attention to detail. Ability to follow policies, procedures and agreed working practices. Skills Desirable Experience using EMIS Web. Knowledge and understanding of NHS referrals and primary care administration. Personal Qualities Essential Polite, confident, flexible and cooperative. Motivated and forward-thinking. High level of integrity and professionalism. Sensitive and empathetic when dealing with patients in potentially distressing circumstances. Ability to remain calm and work effectively under pressure. Willingness to support colleagues and contribute positively to the practice team. Commitment to maintaining confidentiality and professional standards. Other Requirements A satisfactory Disclosure and Barring Service (DBS) check will be required for the successful candidate.
