Summary
The Receptionist is responsible for providing a professional, friendly, and efficient front-of-house service to visitors, clients, and staff. As the first point of contact for the organisation, the Receptionist plays a key role in creating a positive experience by managing enquiries, coordinating appointments, and ensuring the smooth day-to-day operation of reception services. Key Responsibilities Welcome visitors, patients, clients, and contractors in a professional and courteous manner. Answer and direct incoming telephone calls, taking messages where appropriate. Respond to email, telephone, and face-to-face enquiries promptly and effectively. Manage appointment bookings, cancellations, and diary scheduling. Maintain accurate records and update relevant systems and databases. Process incoming and outgoing mail, deliveries, and correspondence. Ensure reception and waiting areas are clean, tidy, and welcoming. Support administrative tasks including filing, photocopying, scanning, and data entry. Liaise with colleagues and external organisations to ensure effective communication and service delivery. Handle confidential and sensitive information in accordance with organisational policies and data protection requirements. Assist with ordering office supplies and maintaining stock levels. Follow all health and safety, safeguarding, confidentiality, and organisational procedures. Support the wider team with administrative duties as required.
