all roles to start with will be office based . There will be an option for 1 day hybrid working after training period

PURPOSE OF THE JOB

To lead, oversee and supervise a team of staff coordinating the planning, scheduling and overall administration of repair appointments / programmed works - ensuring that suitably qualified operatives are correctly and efficiently allocated and deployed to maximize the operational efficiency.

To ensure that any follow up work, inspections, variations, etc are logged, processed and actioned as required on behalf of the operatives / managers, by procedure or instruction to ensure a satisfactory conclusion to the appointment.

Provide leadership and management to the administration team supporting the repairs service to deliver ongoing improvements to the financial efficiency and service delivered to our residents.

PRINCIPAL ACCOUNTABILITIES

To be the focal point for the Southwark Repairs operational support, working closely with all relevant delivery and senior managers. Provide strong leadership and management support in the delivery of scheduling and administration of the operational works.

To ensuring effective planning, development, organisation and prioritisation of workloads to ensure effective and efficient operations across the team as a whole.

To design, introduce and implement a repairs / works delivery process that achieves and exceeds performance targets and expectations.

To oversee the scheduling of all appointments and programmed works with suitably qualified operatives using available technology and reporting tools to ensure business objectives are fully achieved within agreed timeframes.

Responsible for the training & development of staff in accordance with Performance Management, including CPD, objective and target setting and the delivery of work plans.

To communicate with customers to discuss and resolve repairs issues.

To respond to complex and high profile stakeholder queries - providing repairs knowledge and guidance to resolving issues.

Lead on the diagnosis of problems in the repairs delivery process and identify and implement solutions.

Ensure that the dynamic appointment scheduling system database is accurately maintained and managed - observing good system housekeeping, user maintenance, and best practice at all times.

Identify of new ways of working that will improve the service to residents and improve business efficiency.

Note: The duties as listed above are not set out in order of priority, and other tasks commensurate with the grade of the post may be required of the potholder.

To lead and manage the team delivering planning and administrative support to operational services provided by the Business Unit.

Responsible for monitoring budgetary information in relation to specific ongoing contract performance and recommend remedial action to ensure services meet effective cost targets..

Grade/Conditions of Service

This post has been evaluated at grade 9

Governed by the National Joint Council for Local Authorities Services, based on the NJC Award for pay.

Contractual hours 36 per week Monday to Friday between the hours of 07:00 and 17:00.

Post holder may be required to work and attend meetings out of hours

Required to perform at the appropriate level of responsibility, whether specifically contained in the job summary or not, which is consistent with the grade and is reasonable in all circumstances across the division having regard to exigencies of the service, your abilities and aptitudes, and all relevant matters.

The post holder will be expected to work flexibly across the different geographical locations of Traded Services sites and operations within the Borough.

Willing to attend training courses – Statutory and CPD

Must wear and utilise all Personal Protective Clothing and equipment in line with task

May be required to participate in the management of the out of hours service rota
