Summary

Soft FM depends on a range of complex digital systems to deliver services efficiently, including Synbiotix, CAFM, SharePoint, Power BI dashboards, and PowerApp-based platforms. These tools underpin performance monitoring, compliance, and service quality across all Soft FM functions.

This role provides professional leadership for the management, development, and integration of these systems. The post holder will oversee system configuration, reporting, and data governance across all sites, ensuring interoperability and alignment with the Trust’s digitalfirst strategy.

 

The post holder will work closely with ICT, Estates & Facilities, and Trust-wide data teams to ensure systems are secure, reliable, and scalable. They will drive innovation through automation, standardisation, and improved user experience, ensuring digital tools deliver measurable value for operational teams.

Lead complex system improvement and integration projects across Soft FM, from initial scoping through to implementation, evaluation and benefits realisation. Work with operational leads to design digital solutions that strengthen performance monitoring, reporting accuracy and process efficiency, ensuring alignment with Trust priorities and governance standards.

Define functional requirements, map current and future workflows, and oversee configuration, testing and change control for CAFM, BI and Trust reporting systems. Ensure user requirements are reflected in system design, risks are assessed and mitigated, and documentation is clear, auditable and compliant.

Collaborate with ICT, suppliers and system administrators to coordinate build, integration and deployment of enhancements. Analyse data flows and system bottlenecks, recommending automation and rationalisation to improve performance and reduce duplication. Present proposals and progress updates to digital and governance forums.
