Summary
We are seeking a full time band 4 team administrator for Wandsworth CAMHS team – based at Springfield Hospital site – full time hrs (37.5hrs per week).
The successful candidate must be a good team player, with a focus on ensuring that an effective administration service is provided:
The role will provide administrative support across our Wandsworth CAMHS service, with a primary focus on the front door, single point of access for all referrals to the service as well as supporting the smooth running of the outpatient CAMHS Reception.
You will be expected to open referrals, answer phones and emails in a professional and responsive manner to represent the service/service.
Occasional minute taking may also be necessary
The successful candidate will have previous experience of administration roles within an NHS Trust setting, you must also be flexible and able to work under pressure, possess excellent organisational skills, communication and interpersonal skills, together with the ability to prioritise a busy workload.
Hybrid working will be considered with minimum 4 days onsite
Wandsworth CAMHS
Clinical base: Trinity Building, Springfield University Hospital, 15 Springfield Dr, London
Office base: Newton Building First Floor
The post-holder will be a key member of the CAMHS team and will be responsible for the day-to-day administrative & clerical support to team members in the service. The post-holder will assist in the maintenance of an office management system, which provides effective communication to team members and others as appropriate. The post-holder will often be the first point of contact for members of the general public and referrers who wish to make enquiries. It is an essential requirement of the post that the post-holder demonstrates outstanding verbal and written
communication skills and has a proven ability to establish and maintain professional and respectful relationships with others, sometimes in challenging circumstances. On occasions the post-holder may be asked to provide cover for absences and sickness for other colleagues, which may require working in other parts of the service line including the multi-team occupied outpatient CAMHS Clinic.

To be responsible for the efficient and conscientious management of the clinic’s appointments’ diary.
To ensure that all correspondence and documents are accurately and efficiently typed and dispatched, according to priority, including accurate and efficient copy and audio typing of reports, assessments, case notes, letters, minutes of meetings and other confidential material.
To answer telephone calls from clients, relatives, health professionals and other bodies sensitively and politely, ensuring all messages are passed to the appropriate person in a timely and effective manner.
To receive clients and other visitors to the clinic, ensuring that parents and children are dealt with tactfully and with sensitivity and patience, assisting them as appropriate.
To photocopy, scan and fax information, distributing and filing as appropriate.
To sort incoming mail, date stamp and distribute as appropriate.
To extract information for third parties as appropriate.
To take notes at meetings, type up and circulate these as required.
To arrange meetings as necessary ensuring that all relevant professionals involved with the client’s care are invited.
To assist in the smooth running of weekly clinics.
To maintain waiting lists and provide Information Management with timely monthly returns.
To contribute to the development and maintenance of administrative procedures.
