We are seeking a compassionate and dedicated Planner – Admin & Clerical (Repairs Planner) based in Sutton.

Job Purpose

The Repairs Planner is responsible for coordinating and scheduling responsive repair and maintenance works by effectively managing direct labour operatives and external supply chain contractors. The role acts as the first point of contact for customers, ensuring repair requests are handled efficiently while delivering excellent customer service and maximising workforce productivity.

Key Responsibilities of the Planner

Schedule and coordinate repair appointments for direct labour operatives and subcontractors.

Plan and allocate daily work to ensure repairs are completed within agreed service levels and contractual KPIs.

Monitor workforce availability and optimise diaries to maximise productivity and minimise travel time.

Liaise with customers by telephone, email, and other communication channels to book, amend, or update repair appointments.

Provide a professional first point of contact, resolving customer enquiries and escalating issues where necessary.

Monitor the progress of repairs, ensuring jobs are completed within target timescales.

Reallocate work and respond proactively to emergency or urgent repair requests.

Coordinate with supervisors, operatives, contractors, and suppliers to resolve scheduling conflicts and operational issues.

Maintain accurate records of repair orders, appointments, customer communications, and job status using internal systems.

Ensure compliance with company policies, health and safety requirements, and service standards.

Produce reports and update performance information as required.

Identify opportunities to improve scheduling efficiency and customer satisfaction.

Support the wider administration team with general clerical duties and operational tasks as required.

Requirements of the Planner

Essential

Previous experience in an administrative, scheduling, planning, or customer service role.

Experience coordinating workloads, appointments, or resources within a fast-paced environment.

Excellent organisational and time management skills.

Strong communication and interpersonal skills with the ability to build positive relationships with customers and colleagues.

Ability to prioritise competing workloads and adapt to changing priorities.

Good problem-solving and decision-making skills.

High level of accuracy and attention to detail.

Proficient in Microsoft Office applications, including Outlook, Word, and Excel.

Experience using scheduling, repairs, housing management, or workforce management systems.

Ability to work both independently and as part of a team.
