We are seeking a Technical Administrator to support the coordination and delivery of planned preventative maintenance (PPM) activities and associated compliance processes.
Reporting into the Technical Services Team Leader, you will play a key role in organising administrative workflows, ensuring accurate documentation, and supporting both self-delivered and subcontracted maintenance works.
Job Description
We are looking for a proactive and organised individual who can ensure PPMs are completed in line with contractual requirements, while supporting remedial works through to completion.
The role requires strong collaboration across stakeholders and a professional approach to representing the organisation in all client interactions.
Key Responsibilities
Coordinate administrative activities related to PPM scheduling and delivery
Support the Operations Delivery Lead with PPM programme execution
Track, record, and monitor compliance processes and remedial actions to completion
Maintain accurate asset registers in collaboration with the Asset Manager
Manage and organise compliance documentation, ensuring records are kept up to date
Act as a central coordination point between stakeholders, including WPSM, GPA Helpdesk, KAN, ISS Helpdesk, site teams, and subcontractors
Support communication workflows to ensure tasks are completed within required timelines
Assist with scheduling both planned and reactive maintenance activities
Professional and Personal Competencies/Qualifications
Background in Facilities Management (FM) or Building Services
Strong understanding of PPM and reactive maintenance works
Experience with scheduling and subcontractor coordination
Ability to work across varied projects and engage in calls/meetings with management
Strong IT skills, including proficiency in Excel and Word
Experience working with a static engineering team
Excellent customer relationship management skills, including handling challenging situations
Strong written and verbal communication skills
Effective planning, organisation, and problem-solving abilities
