Overview of the job This is a co-ordination and senior administrative role in the Divisional office, Function / Cluster local offices. The jobholder will provide corporate support office-based activities to support the work of the Divisional and operational teams. The post holder must adhere to all policies in respect of the sensitive/confidential nature of the information handled whilst working in this position Responsibilities, Activities & Duties The job holder will be required to carry out the following responsibilities, activities and duties: Management Support • Development and implementation of business administration systems, databases and recording systems to support operational probation delivery. • Preparation and collation of a range of documentation for a variety of purposes to support effective divisional, functional or cluster business activity and operational probation delivery • Maintenance of (or supporting the relevant Business Manager to maintain) Divisional, functional or cluster Registers such as Serious Further Offences, Freedom of Information, Accidents, Complaints, inputting data, monitoring agreed probation processes and ensuring completion in specified timescales • Collection and distribution of monies to/from Imprest, and maintenance of related records. • Act as Vetting Contact Point for the relevant division, function or cluster • Monitor Travel Warrants, Bus passes, cheque book requests and assist with Purchase Orders where required, and within the agreed procurement arrangements • Attend meetings and events to represent the relevant Business Manager as agreed from time to time Health, Safety & Fire • Ensure the timely reporting of problems, including repairs, defects and security issues with the building(s) to facilities contractors and maintain progress to reach satisfactory conclusions and ensure equipment is in good working order. • Undertake and co-ordinate health and safety risk assessments, fire drills and ergonomic assessments at the relevant sites, or ensure they are undertaken. Reporting issues locally and to the Divisional HS&F Manager. Maintaining registers and coordinating training. • Act as Cardinus Assessor, First Aider and Fire Warden and take forward actions to deal with local issues arising from incidents and DSE Assessments or ensure that there are sufficient people able to undertake these roles at the relevant sites. Effectively Manage and Develop staff • To provide effective management and leadership to the team • To proactively manage staff development, issues of underperformance, attendance, health and safety, employee relations and diversity matters. The Senior Inquests Officer will work within the Legal Services Department at Mid and South Essex NHS Foundation Trust (MSEFT), overseeing the day-to-day management and monitoring of Inquests at the Trust. Reporting to the Inquests Managers, this role will be undertaken in collaboration with the Associate Director (AD) of Legal Services, Senior Inquest Advocate, Inquest Managers, and Inquests Officer. You will support managing allocated Coronial matters by liaising with Coroner’s Officers, Interested Persons, solicitors (if appointed), and Trust clinicians. Responsibilities include obtaining and ensuring the accuracy of witness statements and relevant documents (including medical records), complying with disclosure requirements, and preparing these for the coroner or other Interested Persons as needed. A key part of the role involves undertaking advocacy on behalf of the Trust at Pre-Inquest Review hearings in Coroners’ Court. These hearings often involve complex clinical and procedural issues, sensitive family concerns, and legal scrutiny. The post-holder will be responsible for presenting the Trust’s position clearly, responding to queries from the Coroner and Interested Persons, and providing on-the-spot advice and reassurance to Trust staff in attendance, ensuring they feel supported in what can be highly stressful situations. The Senior Inquests Officer will maintain close communication with Coroner’s Officers and assess the need for legal representation, applying to NHS Resolution for funding when required. You will act as a primary point of contact and support for all staff called to give evidence, ensuring that pre-Inquest meetings are arranged and conducted effectively. Deputise for the Inquest Managers when required.Upon conclusion of Coronial matters, the Senior Inquests Officer will update relevant clinicians and departments, identify lessons learned, and contribute to the monthly Legal Services reports to disseminate findings Trust-wide. Additional duties include supporting staff attending court and Inquest hearings, assisting the Inquest Managers with legal research, and contributing to the drafting and revision of relevant policies and procedures. Further responsibilities include drafting legal documentation, undertaking legal research on relevant legislation and case law, assisting case managers by managing delegated tasks to ensure efficient handling of Inquest files, and preparing and delivering training to Trust staff on Inquest procedures and witness preparation. Manage a caseload of Inquests, each requiring detailed preparation, forward planning, and careful coordination. Many cases will be complicated and involve multiple interdependent components, strict statutory deadlines, and the need to balance competing demands. The Senior HR Administrator / Office Assistant will provide day-to-day HR and administrative support to the Practice Manager and HR Lead. The role will have a strong focus on HR administration, including recruitment and onboarding, maintaining staff records, annual leave and sickness absence, staff compliance checks, training, probation and appraisal administration, payroll information and supporting employee relations processes. The post holder will also provide practical office support, including organising office supplies and refreshments, assisting with meetings and staff events, maintaining an organised office environment and providing general administrative support to the Practice Manager. The role will also support the administration of patient complaints and feedback, ensuring complaints are accurately recorded, acknowledged, monitored and appropriately filed, with complex or sensitive matters referred to the Practice Manager or relevant complaint lead. The successful candidate will need to be organised, reliable, approachable and able to maintain a high level of confidentiality when handling sensitive staff and patient information. The role requires good communication and administrative skills, attention to detail and the ability to manage a varied workload while working within Practice policies and procedures.
