Summary
The Client Contract & Quotation Support specialist plays an active, client-facing role in managing the commercial health and day-to-day satisfaction of key BMS contracts. This individual works closely with client facilities managers and engineering teams to identify system improvements, conduct client meetings, generate technical remedial quotations, and ensure the delivery of high-quality service levels.
Key Responsibilities
-Client Relationship Management: Attend regular face-to-face and virtual meetings with client facilities managers to review BMS contract performance, discuss outstanding issues, and identify future system needs.
-Site Walkarounds & Scope Definition: Assist engineering leads in meeting clients on-site to inspect BMS setups, understand required repairs or system upgrades, and define the scope for incoming works.
-Quotation Generation: Translate engineer site logs, survey reports, and client requests into accurate financial quotations for parts, software licenses (e.g., Trend, Tridium), and engineering hours.
-Pipeline Tracking: Manage the quotation lifecycle from initial creation through client approval, tracking variations and following up on pending proposals to secure purchase orders (POs).
-Service Level Delivery: Act as the client's dedicated escalation point to ensure service level agreements (SLAs) are met, proactively resolving complaints and finding commercial solutions.
-Commercial reporting: Maintain a pipeline log of all issued quotes, approved works, and contract variations to provide weekly updates to the BMS leadership team.
Required Skills and Experience
-Client-Facing Background: 2+ years of experience in a customer-centric account support, estimation, or commercial coordinator role ideally within Facilities Management (FM), Building Services, or BMS/HVAC controls.
-Commercial Acumen: Strong ability to calculate cost margins, understand labour rates, interpret engineering site reports, and draft professional commercial proposals.
-Communication & Rapport: Excellent interpersonal skills with the confidence to lead client meetings, present options, and maintain strong commercial partnerships.
-Technical Appreciation: While not a hands-on engineer, you must possess a solid understanding of building services terms to talk knowledgeably about BMS maintenance, controllers, and repairs.
-Organisation: Outstanding time-management skills to balance multiple client sites, active quote pipelines, and urgent call-out tracking.
