Job Description Medical ReceptionistJob Title Medical Receptionist Department Reception / Administration Responsible to Reception Manager Job Purpose The Medical Receptionist will provide a welcoming, professional and efficient first point of contact for patients, visitors and other healthcare professionals. The post holder will support the smooth running of the practice by providing high-quality reception and administrative services while maintaining confidentiality and demonstrating a compassionate and patient-focused approach. The successful candidate will work closely with GPs, nurses, healthcare professionals and the wider practice team to ensure patients receive appropriate and timely access to services. Main Duties and Responsibilities Welcome patients and visitors to the practice in a friendly, professional and courteous manner. Deal with patients face-to-face, by telephone and through other communication channels. Answer telephone calls promptly and professionally, assessing the nature of enquiries and directing patients to the appropriate service or member of staff. Book, amend and cancel appointments using the practice clinical system. Assist patients with queries regarding appointments, prescriptions, test results and other practice services, within the limits of the role. Signpost patients to appropriate healthcare services and other sources of support where appropriate. Maintain accurate and up-to-date patient records in accordance with practice procedures. Process administrative tasks efficiently and within agreed timescales. Receive and accurately distribute correspondence, messages and other information to the appropriate member of the practice team. Handle confidential and sensitive information in accordance with GDPR, practice policies and NHS requirements. Liaise professionally with GPs, nurses, community services, hospitals, pharmacies and other healthcare organisations when required. Support the practice with registration of new patients and other administrative processes. Assist with repeat prescription requests and other routine administrative tasks in accordance with practice procedures. Maintain a clean, tidy and welcoming reception area. Deal appropriately with challenging or difficult situations, remaining calm, professional and compassionate at all times. Follow practice policies, procedures and protocols, including those relating to safeguarding, confidentiality, health and safety and infection prevention and control. Participate in training and development activities as required. Work flexibly as part of the wider reception and administration team to ensure the practice operates effectively. Undertake any other reasonable duties appropriate to the role and level of responsibility. The post holder will be expected to: Treat every patient with dignity, respect and courtesy. Communicate clearly and sensitively with patients from a wide range of backgrounds and with varying needs. Maintain a calm and reassuring approach, particularly when dealing with patients who may be anxious, distressed or upset. Recognise the importance of confidentiality and ensure patient information is handled appropriately at all times. Work collaboratively with colleagues to provide a consistent and high-quality patient experience. The post holder must maintain strict confidentiality regarding patients, colleagues and practice business. All information must be handled in accordance with NHS confidentiality requirements, GDPR, practice policies and relevant legislation. The post holder must not disclose patient or practice information to any unauthorised person and must ensure that information is accessed only when required for legitimate work purposes. The Medical Receptionist will work as part of a multidisciplinary practice team and will be expected to: Develop positive working relationships with colleagues. Support other members of the reception and administration team during busy periods. Contribute to a positive and supportive working environment. Attend team meetings and training sessions as required. Take responsibility for personal development and maintaining knowledge relevant to the role. Contribute ideas and suggestions for improving patient experience and practice processes. The post holder is expected to comply with all practice health and safety policies and procedures and to report any concerns appropriately. The post holder must also comply with infection prevention and control procedures and undertake relevant training as required. All staff have a responsibility to safeguard and promote the welfare of children, young people and vulnerable adults. The post holder must understand and follow the practice's safeguarding policies and procedures and raise concerns promptly with the appropriate member of staff.
