Summary

Job Purpose:

Responsible for providing a proactive, supportive and effective exams service to students, staff. Deputise for the Examinations Manager as and when needed.

Support the Examination Assistants with effective organisation and administration of all internal and external examinations and assessments across all modes of attendance.

Duties Specific to the Post:

• Deputise for the Examinations Manager in their absence, ensuring continuity and effective delivery of the examinations service.

• Support the Examinations Manager with the induction, training and development of new examinations staff and invigilators as well as assist with the training and briefing of invigilators and relevant staff to ensure compliance with JCQ and awarding body regulations.

• Ensure all examination activity is conducted in accordance with JCQ regulations, awarding body requirements and the College's Examinations Policy and procedures, as well as report any actual or potential non-compliance, examination irregularities or breaches of regulations to the Examinations Manager promptly.

• Maintain accurate and up-to-date examination data within the College MIS, ensuring it remains the primary source of examination information. Reconcile College records with awarding body systems, promptly identify and resolve discrepancies, and escalate issues where necessary.

• Coordinate and support the effective organisation and administration of internal and external examinations and assessments across all modes of attendance, taking responsibility for the accurate and timely administration and delivery of examinations for one or more awarding bodies.

• Support the effective administration and development of online and technology-enabled examinations, keeping aware of technological advancements and emerging requirements.

• Submit examination entries, amendments and withdrawals to awarding bodies accurately and within published deadlines, ensuring compliance with individual awarding body requirements.

• To plan, prepare, commence and conclude examination sessions as required, ensuring full compliance with JCQ and awarding body regulations and guidelines.

• Liaise with MIS to arrange suitable examination rooming and ensure examination timetables and room bookings accurately reflect examination requirements.

• Support the accurate and timely administration and distribution of examination

results and certificates, ensuring all results information is communicated securely and confidentially to students and staff. Receive, verify and securely store certificates received from awarding bodies, maintaining accurate records of unclaimed certificates and results documentation and ensuring their secure disposal in accordance with the required retention periods.

• Ensure approved examination access arrangements are applied for within published deadlines and administered appropriately.

• Work closely with the Access Arrangements Team to ensure examination timetables accurately reflect the support requirements of learners.

• Ensure the correct examination papers, stationery and other confidential materials are available on site in advance and are securely stored in accordance with examination regulations.

• Ensure that candidates are supplied with the correct question papers and other materials, inform invigilators of any special arrangements or requirements, deal with any urgent problems arising, and supervise the despatch of scripts.

• Ensure the secure, confidential and appropriate management, distribution and safe custody of examination results, related information, results lists and certificates, ensuring students and authorised staff receive the information and documentation through appropriate and secure processes.

• Ensure that all examination fees are supported by the appropriate finance documentation, duly raised and approved, and accurately allocated to the relevant department.

• Assist with the checking and validation of large data sets used to inform published examination and College statistics.

• Ensure examination data is handled securely and in accordance with GDPR and the College's Data Protection policies and procedures.

• Maintain regular and effective communication with awarding bodies, ensuring timely and accurate exchange of information, responding to queries within required timescales, and liaising on examination entries, results, special arrangements, examination issues and other requirements, including requesting or negotiating appropriate arrangements and resolving issues promptly and effectively.

• Provide advice and guidance to staff on examination procedures, College policy and awarding body regulations.

• Provide a proactive, supportive and professional service to staff and students, responding to examination-related queries and providing clear and accurate information.

• To ensure that relevant administrative staff are aware of the College internal entry procedures and supply them with the appropriate information.

• Contribute positively to the continuous improvement of examinations systems, procedures and service delivery

• To carry out all other duties as may be reasonably required by the Director of MIS, IT & Admissions.
