Summary

The Human Resources Officer will provide an effective, compliant and responsive HR service across Graceage Care Ltd. The postholder will coordinate recruitment and onboarding, maintain accurate employment and right-to-work records, advise managers and employees on HR policies, support employee-relations processes, monitor workforce information, and help ensure employment practices meet applicable UK employment, CQC, and sponsor-compliance requirements.

Recruitment, selection and onboarding

· Coordinate end-to-end recruitment for care, support, administration and management vacancies, from approved vacancy request through advertising, shortlisting, interview and offer.

· Prepare accurate job descriptions, person specifications, interview documents and conditional-offer paperwork.

· Support fair, consistent and non-discriminatory selection processes and maintain complete recruitment records.

· Complete and document pre-employment checks, including identity, right to work, references, employment history, qualifications, professional registration and DBS checks where applicable.

· Issue contracts, statements of employment particulars and onboarding documentation, and coordinate induction with line managers.

· Track probationary periods and prompt managers to complete timely probation reviews.

Employee relations and HR advice

· Provide first-line, evidence-based HR advice to managers and employees on company policies, terms and conditions, attendance, conduct, capability, grievance, flexible working and family-related leave.

· Support formal and informal employee-relations cases, including investigations, disciplinary meetings, grievances, absence reviews and performance-improvement processes.

· Prepare meeting invitations, case files, outcome letters and accurate notes while maintaining procedural fairness and confidentiality.

· Identify recurring workforce issues and recommend proportionate corrective or preventative action.

· Assist managers in resolving workplace concerns and promoting constructive employee relations.

HR administration and workforce records

· Maintain accurate, complete and confidential electronic and paper personnel files throughout the employee lifecycle.

· Process starters, contractual changes, promotions, transfers, changes to hours, family leave and leavers accurately and on time.

· Maintain HR trackers for annual leave, sickness absence, training, supervision, appraisal, probation, professional registration, DBS status and other employment checks.

· Supply authorised payroll changes and validate HR information before payroll cut-off dates.

· Produce workforce reports on headcount, vacancies, turnover, absence, recruitment activity and compliance exceptions for management review.

· Respond to authorised employment-reference and employment-information requests in accordance with company policy and data-protection requirements.

Compliance, policy and sponsorship support

· Monitor continuing right-to-work evidence and conduct follow-up checks at the required time, escalating any issue immediately.

· Maintain accurate records relating to sponsored workers and support timely internal escalation of reportable changes, absences or employment events.

· Assist the Authorising Officer, Key Contact and Level 1 User with compliant HR evidence and record keeping; the postholder will not make immigration decisions or provide regulated immigration advice unless separately authorised.

· Help maintain policies and procedures in line with current employment law, ACAS guidance, CQC expectations, UK GDPR, safer-recruitment requirements and company governance arrangements.

· Support internal audits of personnel files, recruitment files, right-to-work records, contracts, training and sponsor-compliance controls.

· Monitor policy acknowledgements and help communicate policy or legislative changes to the workforce.

Learning, performance and organisational support

· Coordinate mandatory training, refresher training, supervision and appraisal schedules with operational managers.

· Analyse training and competency records, identify gaps and help managers implement action plans.

· Support staff engagement, retention, wellbeing, equality, diversity and inclusion initiatives.

· Contribute HR information to tenders, audits, inspections and management meetings when authorised.

· Undertake HR projects and other duties reasonably consistent with the scope and level of the role.
