Summary
Business Support Executive
Starting Salary: £38,000 to £42,000 p.a. depending on experience

Working Hours: 40 hours per week; Monday to Friday; 09:00 to 18:00
Location: Central London; Hybrid working with a minimum of Wednesdays in the office, other ad hoc days as business requires
About Our Client
Founded in 2000, our client is a leading provider of communications training and advice. They work predominantly, but not exclusively, with Financial Services firms on developing communication skills (sales, negotiation, pitching, relationship management, executive presence, investor communication). They have 30 full-time employees based in London, New York and Hong Kong.
About the Role
This is the role that keeps our client running day to day. You will work alongside two other colleagues and together look after the administration, coordination and support that the business depends on, working closely with colleagues in New York and Hong Kong as well as London. You will own the central diary that schedules all their client delivery, resource engagements so consultants can deliver seamlessly, and handle the invoicing, payments and financial administration that keep the business on track. You will be the person colleagues, associates and clients turn to, across everything from client accounts and finances to office, events and supplier management.
It is a role with real breadth, and one where you will quickly become central to how things work.
What You'll Be Doing:
- Preparing and issuing client invoices and statements of work, reconciling the bank, and chasing outstanding payments so revenue is billed accurately and cash comes in on time.
- Processing supplier and freelancer invoices, coding them for their Accountants, and helping with VAT and month-end.
- Preparing intercompany information so their UK, US and Asia entities settle fairly with each other.
- Owning the central diary and resourcing live engagements, from booking consultants and confirming dates with clients to preparing delivery materials.
- Providing diary support to the founders and executives so their time is well spent.
- Supporting colleagues on client accounts with scheduling, tracking, reporting and data.
- Running the office and facilities, managing supplier contracts, and organising company events including the annual offsite.
- Editing, proofreading and preparing presentations and proposals to our client's standard.
What You'll Bring:
- Finance administration experience - invoicing, expenses, coding supplier invoices, bank reconciliation and chasing payment, and working to month-end deadlines.
- Experience supporting blue chip clients and providing professional support such as diary management to senior people.
- A high level of numeracy and strong attention to detail.
- Intermediate Excel and confident PowerPoint.
- Comfort using AI and technology generally to work more productively.
Experience of Xero, coordinating consultants or organising events would all be welcome, though they can help you build these.
