Summary
Key Responsibilities Budgets, Forecasting and Financial Performance Reporting Collaborate with the Business Manager to monitor and update annual service and organisational budgets and rolling forecasts. Produce concise monthly financial performance reports, highlighting key variances between actual spend and budgeted targets. Assist the Business Manager in prepping financial datasets and variance commentary for the GPHC Board and clinical lead(s). Track expenditure against specific clinical projects and service contracts to monitor baseline financial health. Payroll Coordination & Pension Administration Collate and calculate all monthly payroll data (including core staff hours, variable clinical staff hours, and bank workers) and submit accurate variables to the external payroll provider. Act as the primary internal contact for employee payroll queries, tax code changes, and pension information. Review, check, and sign off the monthly payroll draft generated by the external provider before final approval. Coordinate pension scheme data submissions, ensuring accurate tracking of monthly contributions (including the NHS Pension Scheme and/or workplace alternatives). Primary Care Funding & Reconciliations Reconcile all healthcare funding streams, including PCN budgets and ARRS (Additional Roles Reimbursement Scheme) claims. Work with the Business Manager to align monthly ARRS claims with actual payroll data to guarantee timely and accurate NHS reimbursements. Process recharges, and shared resource adjustments as required. Core Bookkeeping & Sage Management Maintain sales, purchase, and general ledgers efficiently within Sage for Small Business Plus. Process supplier invoices, clinical expense claims, and practice reimbursements in line with internal control processes. Perform regular bank reconciliations, as required and monitor debtor ledgers to maintain smooth cash flow Execute standard month-end adjustments, including posting journals. Liaise with the Business Manager to ensure ledger codes are used correctly and efficiently and propose new codes as necessary Care Quality Commission: Be cognisant of compliance with the CQC 5 key lines of enquiry across all service areas Working with the Business Manager, ensure all financial processes and policies are regularly reviewed and updated, as required Participate in the CQC self-assessment and action planning where appropriate and necessary Support staff through any inspection visits from CQC Confidentiality: In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. This will include (but will not be limited to): Ensuring job holders across the organisation adhere to their individual responsibilities for infection control and health and safety, using a system of observation, audit and check, hazard identification, questioning, reporting and risk management. Maintaining an up-to-date knowledge of health and safety and infection control statutory and best practice guidelines, and ensure implementation of these across the business Using personal security systems within the workplace according to organisation guidelines Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks across the business Making effective use of training to update knowledge and skills, and initiate and manage the training of others Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards, and initiation of remedial / corrective action where needed Actively identifying, reporting, and correction of health and safety hazards and infection hazards immediately when recognised Keeping own work areas and general / patient areas generally clean, identifying issues and hazards / risks in relation to other work areas within the business, and assuming responsibility in the maintenance of general standards of cleanliness across the business in consultation (where appropriate) with other managers and or directors Undertaking periodic infection control training (minimum annually) Routine management of own team, team areas, and maintenance of workspace standards Demonstrate due regard for safeguarding and promoting the welfare of children.
