Summary

We are recruiting for an Office Manager to join us here at Octavius working at our St Albans site office. This is an on site role 5 days per week,

We are a leading civil engineering organisation delivering safe, sustainable, and efficient transport solutions across the UK.

You'll be working on....As Office Manager, you'll be the central point of coordination for our office operations, supporting both the wider business and our commercial teams. This is a varied role that combines office management, facilities coordination, document control, commercial administration, and compliance, ensuring our workplace and business processes run efficiently and effectively.

-Managing the day-to-day operation of the office, creating a safe, organised, and productive working environment.

-Supporting commercial and project teams with document control, record keeping, filing systems, and administration.

-Maintaining accurate project, commercial, and office records to ensure compliance and traceability.

-Coordinating office facilities, maintenance, consumables, and supplier relationships.

-Managing office improvements and ensuring equipment and facilities are safe, functional, and well maintained.

-Supporting materials administration and the management of associated records and documentation.

-Coordinating meeting rooms, inductions, visitor management, incoming mail, and office communications.

-Monitoring office budgets and expenditure associated with facilities and operational requirements.

-Proactively identifying opportunities to improve office processes, systems, and controls.

-Supporting business compliance activities, ensuring key documentation is maintained and readily accessible.

You'll work with....A team of highly motivated, dedicated professionals delivering projects across a variety of frameworks within the UK's transport infrastructure sector.

You'll work closely with our Commercial, Operational and Central Services teams, supporting the effective management of project documentation, records, office administration, and business compliance activities. You'll also build strong relationships with suppliers, contractors, visitors, and colleagues across the wider business.

You'll bring....

-Experience working in an office management, business support, commercial administration, or document control role.

-Experience maintaining accurate records and managing controlled documentation.

-Strong administrative skills with proficiency in Microsoft Office applications.

-Experience supporting commercial or project teams within a fast-paced environment.

-Knowledge of facilities management and office operations.

-Understanding of document control processes, compliance requirements, and information management.

-Health and safety awareness and an understanding of workplace compliance responsibilities.

-Knowledge of GDPR and the importance of maintaining confidentiality.

-First Aid certification and Fire Warden training, or a willingness to undertake training.

-Experience within construction, civil engineering, infrastructure, or a project-based environment would be advantageous.
