About St Pauls Learning Centre
St Pauls Learning Centre is a busy community hub in the heart of St Pauls, Bristol, managed by Ethical Property Company.
Through office provision and flexible space hire, we enable social impact organisations to deliver training, education, support services, creative activities and community events. The Centre is also home to a publicly accessible community café and library.
We are looking for a Front of House & Venue Administrator to help create a welcoming, inclusive and well-run environment for everyone who uses the Centre.
About the role
This is a varied, busy and highly visible role based at Reception, combining venue and bookings coordination, administration, facilities support and community liaison.
You will be the first point of contact for tenants, hirers, visitors, contractors and members of the local community. You will help ensure that the Centre operates smoothly day-to-day, that bookings are well organised, and that everyone who uses the building receives a friendly, professional and inclusive welcome.
The role requires someone who is equally comfortable working with people and getting things done. You will need to be organised and practical, able to manage competing priorities, and confident working independently.
Alongside the operational and administrative responsibilities, a strong commitment to community, inclusion and positive relationships is an essential part of the role.
The role reports to the Office & Services Manager and works closely with the wider St Pauls Learning Centre team.
Key responsibilities
1. Front of House, Access & Security
- Act as the first point of contact for tenants, hirers, visitors and contractors, providing a friendly, helpful and professional welcome.
- Open the Centre and ensure the building is ready for the day's activities, events and users.
- Welcome event hosts and hirers, provide inductions and direct them to the appropriate rooms and facilities.
- Ensure visitors, hirers and contractors follow sign-in and sign-out procedures.
- Manage building access, including programming access fobs and issuing parking permits.
- Help maintain a safe, secure and welcoming environment and follow relevant building, health and safety and lone-working procedures.
- Respond calmly and appropriately to issues or challenging situations that may arise at the Centre.
2. Venue & Services
- Ensure spaces are prepared and appropriately resourced for bookings and events.
- Check that rooms and shared areas are clean, tidy, organised and ready for use.
- Check rooms between bookings and at the end of the day, reporting or addressing issues as appropriate.
- Provide practical support to hirers and event hosts during their use of the Centre.
- Coordinate deliveries, receive post and parcels, and notify tenants of incoming items.
- Provide printing and photocopying services for members of the public, tenants and room users.
- Take cash and card payments and complete daily till procedures and reports.
- Provide general facilities support to help maintain a pleasant, safe and well-presented Centre.
3. Bookings & Customer Administration
You will be an important point of contact for customers wishing to hire space at St Pauls Learning Centre, supporting them from their initial enquiry through to their booking and use of the Centre.
- Respond to booking enquiries by telephone, email and through the online booking system.
- Process bookings, amendments and cancellations accurately and efficiently.
- Coordinate multiple rooms, spaces and resources, both in advance and on the day of bookings.
- Ensure booking information, customer records and applicable rates are kept accurate and up to date.
- Raise advance invoices where required.
- Provide clear information to customers about available spaces, facilities, services and booking arrangements.
- Resolve routine booking and customer queries and refer more complex matters to the appropriate colleague.
4. Community Liaison
- Community is central to this role. You will help ensure that St Pauls Learning Centre feels welcoming, accessible and inclusive to the diverse range of people and organisations who use it.
- Develop positive and respectful relationships with tenants, hirers, visitors and members of the local community.
- Create a welcoming and inclusive atmosphere throughout the Centre.
- Provide information about the Centre, its facilities and the activities and services delivered from the building.
- Signpost visitors and community members to relevant organisations, services and sources of support where appropriate.
- Respond to people with empathy, patience and cultural awareness, recognising and respecting different experiences and perspectives.
- Contribute to maintaining positive relationships between the Centre, its tenants, hirers and the wider community.
5. Communications & General Administration
- Respond to general enquiries in person, by telephone and by email.
- Monitor and manage the shared public inbox, responding to routine enquiries and forwarding queries to the appropriate colleague.
- Keep the shared inbox organised and ensure information is handled in accordance with GDPR and relevant data protection procedures.
- Maintain clear and accurate records, including tenant and customer information.
- Communicate effectively with colleagues and provide thorough handovers to ensure continuity between shifts.
- Attend team meetings and contribute to effective day-to-day communication.
- Support the wider team with administrative tasks as required.
- Provide support with website and social media updates and audience engagement.

Desirable experience
It would be advantageous to have:
- Experience working in a community, neighbourhood or other inclusive public-facing setting.
- Experience in a reception, customer service, venue, bookings or facilities environment.
- Experience managing bookings, enquiries or shared inboxes.
- Experience working independently or in a self-managing or lone-working environment.
- Experience working with diverse communities and stakeholder groups.
