Summary
South London and Maudsley is embarking on an ambitious project to delivery a new electronic patient record (EPR) system.
Effective communication and engagement will be key to the successful delivery of this Trust wide work.
The Communications and Engagement Officer plays a crucial role in supporting the Electronic Patient Records (EPR) Communications and Engagement team to deliver consistent, high quality communications.
You will be responsible for administration of the work of the team, including handling incoming enquiries, acting as an effective and professional first point of contact and signposting people appropriately.
Toact asthe firstpointofcontactforall enquiriesto the EPR communicationsteam
To support the production of communications materials for the EPR programme.
To support the management of engagement programmes and events
Work with the wider team on media opportunities for the programme
To promote the work of the programme via digital channels
We provide the widest range of NHS mental health services in the UK and aim to be a leader in improving health and wellbeing – locally, nationally and globally.
We serve a local population of 1.3 million people in south London, as well as specialist services for children and adults across the UK and beyond.
Each year we provide inpatient care for over 5,000 people, and treat more than 40,000 patients in the community in Lambeth, Southwark, Lewisham and Croydon.
Administrativeduties
· Toact asthe firstpointofcontactforall enquiriesto the EPR communicationsteamfrom externaland internalstakeholders andto work withthemina professional, diplomatic andtimelymanner.
· Tomonitorandrespondto emailandother digitalenquiries, logging andactingupon themor signpostingthemappropriately.
· Tosupporttheproductionof publicitymaterial,egresearch,copywriting, proofreadingand liaising withexternaldesigners, printersetc.
· Tosupport external and internalevents,including bookingvenues,organising invitations, takingminutes andmaintainingassociated records,egattendees’ lists,feedbackand action logs.
· To maintainandregularlyupdatecontactdetailsand lists/databasesof key stakeholders.
· Toassist in planning anddeliveringpublicity andawarenesscampaignsfor theprogramme.
· Toproduceletters,reportsand otherdocuments asrequired.
· Todevelopingan understandingofTrustand becomeeffective inuseofSLaMinternal communications,intranet,websiteandsocialmediaplatforms and supportteamcolleagues in effectiveuseof channels,in line with Trustpolicies.
Mediarelations
· To work with theCommunicationsandMediaManager andto log and maintainrecords mediacalls andtheirmanagement.
· To maintainaccurate addresses,phone numbersandemaildetailsofjournalistsand mediaorganisationswith whomthe Trust hascontact.
· Toreceiveandco-ordinatepress enquiriesfrom national, regional,localmediaandtrade press in atimelymanner;activelymonitoring press andmediaarticles, blogsandsocialmediapostingssothat theTrust isalert andreadytocontributeto currentpublicdiscussions relatingtotheEPR programme.
· Tohelpresearch and draftmaterialforpublication bythe team,supportingothermembersof thedepartment andworking withmanagersacrossthe Trust.
· Tomonitorandrecordmediaandsocialmediacoverage abouttheprogrammeandundertakeevaluationandproducereports.

· Toupload informationtothe Trustwebsite and intranet asappropriate
· To workwithcolleaguesto ensure relevantcontentonthe programmeson theTrust’s websiteandintranet isstay fresh,up-to-date andcontinually refreshed usingonline content managementsystem,workingwithcolleaguesacrossthe Trustasnecessary.
· Tosupportthe programmecommunications andengagement teaminprovidingcontentfor all relevantTrust-owned digital and socialmedia channels
EventsandMeetings
· To manageadministrativeandorganisational activities forinternal andexternalstakeholder eventsworkingwith programmeandwiderTrustteams andpartners including:researching andbooking venues andvenues liaison; issuingandmanagingresponsestoeventinvitations, liaison with delegates,helping toproducesupportmaterials and presentations;liaison with suppliersofdesign andother services;learninganddevelopingcompetenciesinmanagingonline(videoconference and webinar) platforms andsupportingeffective deliveryofevents through digitalplatforms.
· To organiseand lead administrationofmeetings including arrangingdigitalplatforms (videoconferences),bookings andinvitations, liaisonwith attendees, producingandissuing advance papers andwhererequired attending anddraftingminutesand actions.
OtherDuties
· Tohandleandbesensitiveto the useofconfidentialinformation including attimes patient andstaff information.
· To maintainappropriateandprofessionalrelationships withstaff,stakeholders,partnerorganisations, patients andfamilies/carers andothers.
· Tobeabletoworkinateam under pressureof timeddeadlines.
· To work independentlywith the abilityto juggle numeroustasks.
· Toproducewrittenworktoagoodstandard.
· Any other activities asrequestedby your linemanager.
· Workcollaborativelyto support allcommunicationsand engagementteamcolleagues
