Summary
The Graduate Bid & CRM Coordinator will support SLC in identifying, qualifying and coordinating opportunities for new work, while helping develop the systems and processes supporting tendering, CRM and the Company's opportunity pipeline.
The role provides experience across bid management, public sector procurement, CRM, business analysis, data, automation and commercial operations. Working with Directors, technical specialists, bid leads and Communications, the Graduate will learn how consultancy opportunities are identified, assessed, pursued and converted into commissions.
A key focus will be improving how opportunities and bids are managed, using HubSpot, data and automation to reduce administration, improve visibility and minimise missed opportunities or tender requirements.
Key Responsibilities
1. Opportunity Identification & Capture
• Monitor public sector procurement portals, frameworks and opportunity alerts.
• Capture opportunities received from clients, partners and other organisations in HubSpot.
• Identify key dates, procurement routes, submission requirements and relevance to SLC.
• Prepare opportunity summaries for internal review.
• Record deadlines and critical milestones.
• Support automation and improvement of opportunity capture.
2. Opportunity Qualification & Bid/No-Bid
• Support a consistent qualification and bid/no-bid process.
• Gather information to assess opportunities against agreed criteria.
• Identify relevant services, experience and potential resources.
• Support assessment of procurement requirements, commercial attractiveness and deliverability.
• Coordinate and record bid/no-bid decisions.
• Maintain visibility of opportunities requiring action.
• Record declined and unsuccessful opportunities for analysis.
3. Tender Coordination
• Support Bid Leads in establishing tender programmes and timetables.
• Record tender questions, mandatory requirements, evaluation criteria and required returns.
• Develop and maintain tender compliance matrices.
• Allocate and track actions and responsibilities.
• Coordinate contributions from technical specialists and other teams.
• Maintain document control and monitor deadlines.
• Coordinate clarification questions and responses.
• Support final compliance checks and tender submissions.
Technical content remains the responsibility of SLC specialists and Bid Leads.
4. Bid Systems, Automation & AI
• Support continuous improvement of SLC's tendering process.
• Identify activities suitable for automation.
• Develop workflows for opportunity capture, tender mobilisation, reminders, approvals and reporting.
• Support integration between procurement information, HubSpot and other systems.
• Develop templates, checklists and workflows.
• Help identify and test appropriate AI-enabled improvements to opportunity screening, requirement extraction and compliance checking.
• Evaluate new tools while ensuring professional review and commercial judgement remain central.
5. CRM & Pipeline Management
• Develop capability as an administrator and super-user of HubSpot.
• Maintain accurate client, opportunity, bid and outcome records.
• Ensure opportunity stages and data standards are consistently applied.
• Monitor data quality and identify incomplete, duplicate or outdated information.
• Develop workflows, alerts and dashboards.
• Support colleagues using HubSpot and identify configuration improvements.
• Help maintain a reliable opportunity and tender pipeline.
6. Bid Evidence & Corporate Information
• Identify experience, technical evidence and corporate information required for tenders.
• Work with Communications to access current CVs, case studies and approved corporate material.
• Work with specialists to identify relevant project evidence.
• Identify gaps in commonly requested procurement information.
• Help develop an efficient system for retrieving approved tender evidence.
7. Performance Analysis & Management Information
• Maintain records of submitted, won, lost and withdrawn opportunities.
• Capture client and procurement feedback.
• Produce reports on pipeline and tender performance.
• Monitor tender volumes, values, conversion rates and outcomes.
• Analyse performance by client, sector, service, procurement route or partner.
• Identify reasons for successful and unsuccessful bids.
• Support forecasting of future workload and revenue.
• Develop dashboards and identify trends and improvements.
8. Clients & Strategic Partners
• Support opportunities arising through consultancy and delivery partners.
• Ensure partner-led opportunities follow agreed processes.
• Maintain records of partner opportunities and outcomes.
• Support information requests for bids and framework submissions.
• Coordinate responses for capability, experience and resource information.
Strategic client and partner relationships remain the responsibility of senior personnel.
9. Continuous Improvement
• Review tendering and CRM processes and identify improvements.
• Capture lessons learned and implement relevant bid feedback.
• Benchmark processes against good practice.
• Encourage consistent use of agreed systems.
• Identify opportunities to simplify processes, reduce administration and improve information flow.
