Responsible to: GP Partners

Reports to: GP Partners / Practice Leadership Team

Contract: Full-time, Permanent

Job Purpose

The Practice Manager will be responsible for supporting the GP Partners in the effective management and development of the practice.

The post holder will oversee the practice's operational, administrative and business functions, ensuring that appropriate systems, processes and resources are in place to support the delivery of safe, effective, responsive and patient-centred services.

The Practice Manager will provide leadership to the practice team and work closely with clinicians, administrative staff, external organisations and the wider primary care network.

The role will involve balancing the day-to-day operational needs of the practice with longer-term development, improvement and sustainability.

Key Responsibilities

1. Practice Leadership and Operations

• Oversee the day-to-day operational running of the practice.

• Ensure effective administrative and operational systems are in place.

• Work closely with the GP Partners and clinical leads on practice priorities.

• Identify operational problems and implement practical solutions.

• Monitor workloads, staffing requirements and service capacity.

• Ensure effective communication across the practice.

• Support the implementation of new systems and ways of working.

• Contribute to practice development and strategic planning.

2. Staff Management and Human Resources

• Support recruitment and selection of practice staff.

• Ensure appropriate induction and onboarding processes are followed.

• Maintain accurate staff records.

• Organise and monitor mandatory and role-specific training.

• Support regular staff appraisals and development.

• Manage performance and conduct issues appropriately.

• Support staff wellbeing and a positive workplace culture.

• Ensure employment policies and procedures are implemented.

• Work with the Partners on workforce planning and staffing requirements.

3. Governance, Compliance and Quality Improvement

• Maintain effective governance arrangements within the practice.

• Ensure policies and procedures are current, accessible and implemented.

• Monitor compliance and identify areas requiring improvement.

• Maintain appropriate evidence and documentation.

• Coordinate practice action plans and monitor progress.

• Support CQC and ICB requirements and inspections.

• Support risk management and incident reporting processes.

• Ensure appropriate health and safety arrangements are maintained.

• Support information governance and confidentiality requirements.

• Promote a culture of continuous improvement and learning.

4. Finance and Business Management

• Support the GP Partners with financial management.

• Monitor budgets, income and expenditure.

• Maintain effective financial and administrative systems.

• Support NHS claims and income streams, including QOF and Enhanced Services.

• Monitor contractual requirements and associated income.

• Identify opportunities to improve efficiency and financial sustainability.

• Liaise with accountants, suppliers and external organisations where appropriate.

• Ensure appropriate financial controls are maintained.

5. Patient Experience

• Promote a patient-centred approach throughout the practice.

• Monitor patient feedback, complaints and concerns.

• Ensure complaints are managed appropriately and within required timescales.

• Support patient engagement and communication.

• Work with the practice team to identify improvements to patient experience.

• Support appropriate patient participation and engagement activities.

6. Practice Development and Growth

• Work with the GP Partners to support the future development of the practice.

• Identify opportunities for service improvement and development.

• Support the introduction and promotion of new services.

• Contribute to patient engagement and community initiatives.

• Support appropriate practice communications and social media activity.

• Identify opportunities to improve access, efficiency and patient experience.

• Contribute ideas for sustainable practice growth.

7. Information Technology and Systems

• Support the effective use of practice IT systems.

• Ensure staff receive appropriate training in relevant systems.

• Work with relevant providers to resolve operational IT issues.

• Encourage appropriate use of digital technology to improve efficiency and patient access.

• Support the effective use of clinical and administrative systems.

8. External Relationships

The Practice Manager will develop and maintain effective working relationships with:

• GP Partners and clinical staff.

• Practice employees.

• Primary Care Network colleagues.

• ICB and NHS organisations.

• CQC and other regulatory bodies.

• Local healthcare providers.

• Suppliers and contractors.

• Professional and external support organisations.

9. Confidentiality and Data Protection

• Maintain strict confidentiality regarding patients, staff and practice information.

• Ensure staff understand their responsibilities relating to confidentiality and data protection.

• Support compliance with relevant information governance requirements.

• Ensure appropriate procedures are followed for the secure management of information.

10. General Responsibilities

The post holder will:

• Work within the policies and procedures of the practice.

• Maintain professional standards at all times.

• Treat patients, colleagues and external stakeholders with respect.

• Promote equality, diversity and inclusion.

• Participate in relevant training and professional development.

• Undertake other reasonable duties appropriate to the role as requested by the GP Partners.

Working Relationships

The Practice Manager will work closely with the GP Partners and all members of the multidisciplinary practice team.

The post holder will be expected to build positive relationships, communicate effectively and contribute to a culture of teamwork, accountability and continuous improvement.
