Summary
The post holder will support the provision of the highest quality patient care through dedicated administrative and clerical support and continuous improvement.
Mainly based in the Paediatric Team at Queen Mary’s Children’s Hospital at St Helier, the post holder will be the point of contact for all administrative and clerical issues relating to patients’ pathway of care, tracking and supporting them from referral to treatment &/or discharge.
The post holder will provide a patient focused service that supports clinical staff in the provision of efficient integrated pathways that enable the best use of resources and ensure that patients are fit, willing to be able to be seen and that they are treated in the right place, by the right person, at the right time.
The post holder will ensure high levels of patient care/confidentiality by assisting with Child Protection and Paediatric Psychology pathways as needed and by being an accessible customer focus and knowledgeable point of contact for all involved in the service.

• Act as the first point of contact for Paediatric Safeguarding, Psychology, providing a professional, responsive, and effective administrative service.
• Coordinate requests from social workers seeking medical advice on child protection matters, ensuring all actions are undertaken promptly and in accordance with departmental protocols.
• Manage incoming correspondence, patient records, and clinical documentation, ensuring timely distribution and appropriate action where required.
• Ensure all referrals are accurately entered onto Trust systems and that patient records are created, maintained, retrieved, and archived in line with Trust policies and procedures.
• Schedule patients in accordance with NHS waiting time standards and Trust policies, proactively managing patient pathways to ensure timely access to services and appropriate escalation of delays where necessary.
• Manage clinic cancellations and amendments, ensuring appointments are re-booked and documented in accordance with Trust procedures.
• Provide comprehensive administrative support to consultants and clinical teams, ensuring clinic templates, timetables, and service capacity are utilised effectively and efficiently.
• Support effective communication between clinical teams, patients, carers, social care professionals, and other stakeholders to facilitate seamless service delivery.
• Maintain confidentiality at all times, adhering to Trust policies, GDPR requirements, and professional standards relating to patient information.
