Summary

To facilitate the MDT meetings. This may require being available for an early start/late finish or during lunchtimes. To liaise with clinical and administrative staff across departments and different NHS Trusts to develop MDT meeting lists. Provide administrative support for MDT meetings To ensure that proformas for each patient to be discussed at the MDT are prepared, having identified all relevant existing clinical data. To organise the weekly multi disciplinary team meeting ensuring that notes, X-rays, pathology slides and other relevant information is available when required. To organise and operate all visual aids needed for meetings eg. Video conferencing. At the MDT meeting complete a live detailed proforma or detailed summary for patient discussed. Keyboard skills are essential To log actions of meetings and be responsible for ensuring that such actions have been carried out. To ensure that outcomes of MDTs (management and treatment plans) are filed in the patients notes. To work with the MDT members to ensure that appropriate action follows the MDT and that general practitioner are advised of decisions. Ensure all discussions about each individual patients management and the attendance of MDT members are recorded. To provide cross cover for other team members during periods of planned leave, sickness, absence or as requested by the Team Leader. Review and despatch of clinical, administrative and general correspondence by digital transcription. Ensuring that clinic letters are sent out promptly to General Practitioners. Provide administrative support to consultants, clinical staff and all patients under their care, including diary administration, correspondence support and other administrative duties as required. Ensuring investigations have been requested and tracking results with hospital notes to ensure appropriate action is carried out in a timely manner. Proactively manage patient pathways on Electronic Patient Record (EPR) to ensure patient is on correct pathway and discharged when appropriate. Use of Clinical Intranet for obtaining results as appropriate. Use of EPR to search and amend patient records. Use of EPR to check appointments booked for patients as requested. To ensure the units GP advice line is being actioned and to ensure charges are correctly processed. Receiving telephone calls and emails from patients, General Practitioners and any other general enquiries and responding in a timely manner. Oversight of booking patients via telephone and updating the required systems. Close liaison with Endoscopy Department to maintain smooth running of endoscopy sessions and to keep department informed of any known changes to forthcoming sessions. When requested organising and setting up of extra sessions and liaising closely with endoscopy staff, appointments staff and patients. General secretarial duties including but not restricted to collating etc and any other duties as requested by the Admin Manager, Service Manager or Doctors. Work closely with all staff in the service to ensure compliance with 18 week referral to treatment (RTT) targets, escalating and intervening where necessary to expedite appointments and procedures to avoid breaches. Update patient details on EPR and other Trust and departmental record systems as necessary, including updating GP and Patient addresses. Any other duties which may be needed to fulfil the objectives of the post, which are appropriate to the grade as required from your line manager or the Directorate Management team.
