Summary

DUTIES AND RESPONSIBILITIES System Configuration To act as System Administrator for the Future Workforce Solution; maintaining system security and assisting to resolve software and system operational problems as part of the implementation team. To undertake and maintain system configuration; ensuring the accuracy of data within the system reflects data that is held within the current workforce national management system. To support adequate assigning of relevant professional to ensure system users have the correct level of system access, To configure and maintain the Trusts current work structures and implement any future changes to work structures within the Future Workforce Solution. Technical/Administrative To ensure all new system users have received adequate training and have been issued with appropriate access levels to enable them to fulfil their job roles. To prepare documentation and training guides for the future workforce solution. To support with any training required or training materials required for system upgrades. To provide technical support and advice throughout regular system upgrade testing periods, recording any issues experienced with system configuration. To act as first line support for system users, providing advice and guidance, and resolving software problems where possible, or escalating to the system suppliers where not possible. To liaise with Digital Services for technical support and the resolution of hardware and networking issues. To discuss and communicate system downtime system users to ensure minimum disruption. To work with the Implementation Lead to develop a back-up/ recovery plan to maintain adequate provision of services in the event of scheduled or unscheduled downtime. To produce accurate and statistical reports, both verbal and written, to support the Implementation Lead with system rollout. Manage personal calendar to coordinate and organise administrative arrangements for user training sessions with relevant department leads and professional user groups. Project Responsibilities To work with staff and identified key stakeholders to implement the system trust wide. To assist the Implementation Lead to co-ordinate phasing of implementation project. Support the Project Lead to manage change process with all stakeholders and ensure effective communication. Ensure potential blocks and difficulties are communicated to Implementation Lead. Work with legacy system to ensure accuracy of data is appropriate for transfer to the Future Workforce Solution. Support the Implementation Lead to implement an effective system to evaluate and measure benefits, setting objectives with local managers. Support the maintenance of data across both the legacy and Future Workforce Solution. Provide system advice and support to unit/departmental managers and professional users as required throughout the duration of the implementation. To support the delivery of an effective communications plan by disseminating information through a range of methods, tailored to accommodate varying levels of understanding. Co-ordinate and communicate feedback to the Implementation Lead as required and as appropriate. Understand implementation timescales to enable the effective delivery of project milestones in line with national project team expectations. Delivery of Training and Workshops Facilitate training to ensure legacy manager self-service users are equipped to carry out all required duties in the Future Workforce Solution. Monitor the effectiveness of training sessions and collate feedback, reporting outcomes into the Implementation Lead. Arrange and facilitate planning workshops as necessary to assist with project implementation. Work effectively with other team members within the project team to produce training materials and guidelines. To assist in development of training materials targeted at all staff required to use the system. Following initial training ensure that a system is in place to support users in the early stages of its implementation. Identify any lack of understanding or competency and rectify with groups or individuals. Ensure that training materials reflect any software upgrades or improvements that are made as the project progresses. General Attend any national or regional meetings external to the Trust to ensure that the implementation team is kept up to date with best practice and lessons learnt from elsewhere ensuring we work as efficiently as we can and obtain the maximum benefits from the Future Workforce Solution. Contribute to policy development as necessary based on the feedback from any workshops or training sessions. Assist the Implementation Lead with the production of reports as necessary. Under the direction of the Implementation Lead contribute to the overall project management process, attending project steering groups as necessary, for example in the absence of the Implementation Lead. Training & Development Attend all mandatory training relevant for post. Identify own training needs, in consultation with line manager, and attend relevant courses / study days to enhance personal development. Attend and actively participate in an annual Personal Development Review. Be willing to demonstrate your duties to new starters or less experienced staff. To lead training sessions for new users in fundamentals of the Future Workforce Solution on a one to one or group basis, where barriers to understanding may exist. To present training plans across a diverse range of management levels, ensuring understanding and creating buy in. To facilitate workshops/training sessions where you have identified a specific learning need which needs addressing. Organisational Responsibilities To be aware of/maintain an up-to-date knowledge of information governance, data protection and confidentiality and to always incorporate it into daily practice
