Summary

Able to communicate with patients by phone, writing and face-to-face, using a clear and caring approach. Able to resolve conflict between staff and patients. Liaises with the multi-disciplinary teams, including responding to both written and verbal requests to ensure that adequate information and support is available to patients and staff. Provide a full scheduling service for clinical teams in radiotherapy, chemotherapy, outpatients and haematology, to ensure new referrals are booked in a timely manner, that appointments are made within agreed timescales to meet targets and that information is readily available to support the patient pathway. Maintains contact with the Christie network, keeps abreast of changes/developments as well departmental directives, then disseminates this accordingly Book further appointments with other disciplines, centres or resources to ensure continuity of care and patient pathway Liaise with other trusts e.g. Macclesfield District General Hospital to co-ordinate and manage clinics, classes etc that are ran from the department, including booking rooms Triage and management of booking forms for radiotherapy and chemotherapy. Contribute to the compliance of all patient pathway targets, liaising with patient trackers and Assistant Service Manager with requests regarding treatment and breach dates. Stock and non-stock ordering Assessment of data and quality reports in order to ensure all referrals are appropriately recorded in Care-flow and any irregularities are appropriately managed. Responsible for day to day running of the admin service, managing capacity and escalating relevant issues appropriately. Work with Clinicians, Managers and Administration staff to review working practices, identify new improved ways of working and find solutions to problems. Liaise with SACT team regarding delaying, deferring patients to ensure capacity is appropriate for staffing levels Collect data relating to activity across all departments. Implement policies within work area and flag proposals for change to centre manager/service manager to assist in development and improvement of the current service provision Work with Divisional Managers and Team Leaders to improve quality and range of services, with resources being managed according to agreed policies and priorities. Teaching and Training Responsible for the induction and training of new administration staff, identification of training needs, co-ordination of the ongoing provision of training to meet the needs within the Department. Responsible for training of clinical support workers within radiotherapy department to meet administration needs within the department. Including assessing competency skills relating to role. Ensure own personal and professional development, and those within the team. Attend all mandatory training courses and ensure team are up to date. Provide training and system logins to transport online services for bookings team, clinical support workers and other clinical teams Participate in training and meetings within the Christie network as required and communicate changes/information to bookings team. Create/update working instructions for bookings process and other admin duties. Assess skills/sign off competencies relating to the duties. Responsible for the management of training records for administration staff ensuring staff are up to date with mandatory and professionals requirements each year. Management and Leadership Delegate duties to appropriate team members to ensure workflow is maintained and the full scheduling service to covered for all areas in department. Participate in recruitment and selection of administration staff, undertaking interviews in accordance with trust procedures Assist in the investigation of complaints and clinical incidents relating to administrative staff/services, ensuring that they are appropriately managed and necessary action taken, including changes in working practices implemented, where required. Be a point of escalation for admin team regarding clinics that are overbooked and consultants requesting specific dates for appointments. Liaise with clinic teams to ensure workload manageable. Line management of Admin support workers, including PDRs and Sickness. Manage sickness absence in accordance with the Trusts Policy for the Management of Sickness Absence; undertake return to work interviews and management of absence meetings as and when required. Conduct regular 1-1s with admin team and team meetings Responsible for Admin support workers staffing rota, workload, liaising with teams and appropriate managers to ensure workload is manageable. Escalating to clinical teams and Service Managers when appropriate. Provide continuity of support during the absence of other bookings team members including covering reception desk. Provide continuity of support during the absence of clinical support workers within radiotherapy department for administration duties. Monitor performance within admin team and clinical support workers within radiotherapy giving regular feedback and support. Point of escalation for the admin team when dealing with difficult situations, including conflict management with patients, relatives and other staff members. Responsible for authorising annual leave ensuring this is in accordance with Annual leave procedure and does not compromise the service and workload is manageable. Ensure all relevant information is available for multi-disciplinary meetings for your team.
