Summary

BBS Recruitment is an independent recruitment agency for transport and logistics sector, supplying to a variety of clients across UK.

We are currently recruiting an Executive Support Officer for our client based in Lambeth.

The successful candidate will work as part of a team of Strategic and Executive Support Officers, providing a high-quality service to senior leaders while contributing to the effective delivery of Council priorities, projects and programmes.

Responsibilities for Executive Support Officer:

• Provide professional, comprehensive and proactive executive and PA support to Directors and senior managers.

• Act as a key point of contact for senior officers, managing communications and ensuring enquiries and requests are dealt with efficiently.

• Manage complex and frequently changing diaries, appointments, meetings and correspondence, prioritising competing demands appropriately.

• Monitor and respond to enquiries and referrals on behalf of senior managers where appropriate.

• Prepare, coordinate and manage high-level correspondence, reports, briefings, presentations and other documents.

• Attend meetings, take accurate minutes and ensure actions and follow-ups are appropriately recorded and progressed.

• Maintain effective electronic filing, document management and archiving systems in accordance with Council policies and procedures.

• Prepare strategic and high-level briefings, presentations, discussion papers and reports for Directors and senior managers.

• Collate, review and quality-check information and documentation to ensure accuracy, consistency and appropriate filing.

• Provide administrative, analytical and research support to a range of Council projects and programmes.

• Support the delivery of components of high-profile and complex projects, working closely with project leads and multidisciplinary project teams.

• Undertake research and data analysis to support evidence-based decision-making and successful project delivery.

• Contribute to areas including policy development, customer intelligence, equalities, business improvement and quality assurance.

• Build and maintain effective professional relationships with senior Council officers, councillors, residents, external organisations and public, private and third-sector partners.

• Exercise a high degree of discretion, confidentiality and sensitivity, particularly when dealing with contentious, confidential or politically sensitive information.

• Maintain an up-to-date understanding of Council services, functions, priorities, programmes and key issues.

• Work independently while contributing positively to a collaborative Executive Support team and wider corporate working environment.

• Participate in cross-departmental and cross-organisational working groups, task teams and multidisciplinary projects as required.

• Manage workloads effectively, balancing competing priorities and ensuring deadlines and service requirements are met.
