Job Description Medical Receptionist Job Title: Medical ReceptionistHours: 26 hours per weekResponsible to: Practice Manager / Deputy Practice Manager Job Purpose To provide a professional, efficient and welcoming reception service to patients and support the smooth day-to-day running of the practice. The Medical Receptionist is often the first point of contact for our patients and therefore plays an important role in their experience of the practice. The successful candidate will need to communicate with compassion and professionalism while maintaining confidentiality and dealing effectively with a busy and varied workload. Main Duties and Responsibilities Answer incoming telephone calls and deal with patient enquiries appropriately. Use care navigation skills to help patients access the most appropriate member of the healthcare team or service. Book, amend and cancel appointments in accordance with practice procedures. Process requests and enquiries from patients, clinicians and other healthcare professionals. Accurately record and update patient information on the clinical system. Assist patients with general queries and explain practice procedures and available services. Manage incoming correspondence, tasks and electronic communications and direct these to the appropriate person or team. Liaise with hospitals, pharmacies, community services and other healthcare providers when required. Assist with administrative duties including scanning, filing, document processing and other general office tasks. Maintain patient confidentiality at all times and comply with information governance and data protection requirements. Recognise potentially urgent situations and escalate concerns appropriately in accordance with practice procedures. Deal with challenging or sensitive situations calmly, professionally and compassionately. Work collaboratively with GPs, nurses, healthcare professionals, reception colleagues and the wider practice team. Attend team meetings, training sessions and protected learning events as required. Undertake any other reasonable duties appropriate to the role to support the effective running of the practice. Working Hours The contracted hours for this position are 26 hours per week, worked as follows: Monday: 8:30am 4:40pmTuesday: 8:30am 2:00pmWednesday: 8:30am 4:30pmThursday: 8:30am 2:00pmFriday: Usual non-working day Flexibility is an important requirement of this position. Although Friday will normally be your non-working day, you will be required to work on Fridays when necessary to provide annual leave cover for other members of the reception team. Confidentiality The post holder will have access to confidential information relating to patients, their families, practice staff and other healthcare professionals. All information must be treated in the strictest confidence and handled in accordance with practice policies, UK GDPR and relevant legislation.
