Summary
Key Responsibilities Reception Duties Greet patients and visitors in a professional, courteous and confidential manner. Answer incoming telephone calls and respond appropriately to patient enquiries. Book, amend and cancel appointments in accordance with practice procedures. Signpost patients to the most appropriate clinician, service or healthcare professional. Enter requests for home visits and urgent appointments following practice protocols. Register new patients and update patient demographic information. Assist patients with online services and digital access where required. Process repeat prescription requests in accordance with practice procedures. Manage incoming and outgoing mail and correspondence. Ensure reception and waiting areas remain tidy, safe and welcoming. Communicate effectively with clinicians and other members of the healthcare team. Administrative Duties Maintain accurate electronic patient records using the clinical system. Scan, file and retrieve documents as required. Process and record patient information accurately and promptly. Assist with data quality activities and record maintenance. Support administrative projects, audits and service development initiatives. Operate office equipment and IT systems effectively. Assist with recalls, screening programmes and patient communications. Customer Service Provide excellent customer service at all times. Deal with patients sensitively, professionally and respectfully. Handle difficult situations calmly and escalate concerns when appropriate. Promote equality, diversity and dignity in all interactions. Contribute to a positive patient experience. General Responsibilities Maintain strict patient confidentiality at all times. Comply with GDPR, Information Governance and practice policies. Follow safeguarding procedures and report concerns appropriately. Comply with all health and safety requirements. Attend mandatory training and team meetings. Participate in continuous professional development. Support colleagues and provide cover during periods of absence. Work flexibly to meet the needs of the practice.
