Summary
We are looking for an organised, approachable and supportive administrator to join our Employee Health Service team. This is an important role providing day-to-day administrative support and helping to ensure staff receive a responsive and efficient service.
You will be a key point of contact for employees, managers, healthcare professionals and colleagues, providing clear and helpful communication with professionalism and sensitivity.
The role includes:
• Supporting the day-to-day administration of the Employee Health Service.
• Processing pre-placement health applications using TRAC/OPAS G2, or any systems that replace these.
• Providing reception and telephone support for the service’s single point of access.
• Registering referrals, arranging appointments and maintaining accurate records.
• Sharing information accurately and securely with relevant colleagues.
• Supporting employees, managers and healthcare professionals as part of a collaborative team.

Working as part of the Employee Health administration team, you will:
• Process pre-placement applications and forward health clearances to Recruitment and where appropriate, recruiting managers each day.
• Accurately record information on Employee Health clinical systems and update OPAS G2 with monthly starter and leaver information.
• Register referrals and arrange appointments in line with service requirements.
• Manage appointment bookings, cancellations and amendments promptly and accurately.
• Provide clear confirmation of appointments to employees.
• Answer incoming calls and respond to enquiries in a helpful, professional and sensitive manner, taking appropriate action where needed.
• Monitor and respond to the single point of access email inbox.
• Process correspondence and information received by the service, working collaboratively with colleagues.
• Scan and photocopy confidential and non-confidential documents, maintaining confidentiality at all times.
• Provide reception support at the Employee Health headquarters when required.
You will contribute to a welcoming, responsive service and work collaboratively with colleagues to maintain high standards of accuracy, confidentiality and customer service.
