Summary

The Ealing Community Team for People with Learning Disabilities have an exciting new opportunity for a team administrator to join the service.

 The successful candidate will provide high quality administrative support to the service. This includes managing and processing referrals and a wide range of administrative duties to support delivery of team objectives. This role will include some medical administration to support the psychiatry team with arranging patient appointments, sending letters, and communicating medication changes. The role includes deputising for the Administration Team Lead as required. The post holder will be required to liaise with service users, carers, health professionals and team members, the post holder will ensure that an efficient, high standard of communication is carried out at all times.

•    To deal with telephone enquiries in an informed and sympathetic manner, taking and passing on messages promptly and action where necessary. To regularly access the generic email systems, responding to all queries

•    To collate and present activity data for service and management meetings and for monthly and ad hoc statistical returns.

•    Maintain service line databases for record keeping, ensuring accurate reporting and invoice processing. Including, where required logging maintenance for specialist equipment and IT service equipment for the service line.

•    Updating Health Roster as requested by line manager/Clinical Service Leads

•    Recording of compliments, incidents and mortality Datix’s as required.

•    Supporting induction and training of new staff.

•    Monitor the service generic email accounts, responding appropriately and forwarding emails as required

•    The post holder will be required to support with reception duties roughly twice per week. This may be depending on the whereabouts of the other administrators in the service. 

•    To support an efficient and courteous ‘front of house’ reception service to all service users and visitors. 

    Responsibility for the day-to-day smooth running of the site, for dealing with the general  public and staff, reception, telephone work and correspondence.
