Therapies Outpatient Administrator

Department: Therapies and Dietetics

Band 3,  £25,760 - £27,476 Per annum pro rata

Hours: Part time, 22.5 per week, all MKUH roles will be considered for flexible working .

We’re excited to expand our Therapies Outpatient Administrator team with this new position.

As a Therapies Outpatient Administrator, you will work alongside other administrators, led by a Patient Pathway Co-Ordinator for Physiotherapy and Occupational Therapy, as well as the Therapies Admin Lead. The admin service covers 5 key areas; Musculoskeletal Physiotherapy, Pelvic Health Physiotherapy, Respiratory Physiotherapy, Children's Physiotherapy, and Hand Therapy. Our admin structure assigns a service per administrator, to have a specialist understanding of the clinic arrangements for each area. Each area is also supported through an admin buddy system, but there may be times where cross-cover is necessary and ad hoc requests by patients such as appointment cancellations or rescheduling are handled across the board.

The admin team works directly within the Therapies Outpatient Department, enabling access to support from senior administration teams, and direct access to clinicians to support collaborative working. 

The key duties and responsibilities of the role are:

Answering phone calls from patients and other healthcare providers via our call centre system.

Specialist scheduling of clinics for one of our clinical service, supported through a buddy system.

Scheduling of other clinics within the service at times where support is required (i.e; short-term high volume of demand, covering annual leave)

Patient facing duties such as manning the reception on a rota basis.

Promptly and professionally responding to emails from patients, internal colleagues, and external partners.

Participating in team meetings and training sessions to increase knowledge and skills of our services.

The Therapies Admin service runs a robust and personalised training programme to support all colleagues in ensuring they maintain and develop their knowledge required to deliver our specialist services. Our telephone lines close on Wednesday mornings to provide protected time for specific training, team meetings, and one-to-one supervision sessions with line managers. In instances where an individual is unable to consistently be present on Wednesday mornings, the reception rota will be adjusted to enable a member of the team time away from phone lines to focus on their training.

The admin service runs Monday to Friday, 07:30 – 17:30. The admin service is supportive of flexible working requirements, but asks candidates note the expectation on availability to cover reception within these service times. The services runs from a fixed schedule, repeated weekly, only modified to adjust for any annual leave to enable a supportive and flexible cover programme.
