Assistant Facilities Administrator
Location: Head Office (Whitchurch, Shropshire)
Department: Administration – Estates & Facilities
Hours: 37.5 per week

The Role
We are looking for a highly organised and proactive Assistant Facilities Administrator to join our Estates & Facilities team at Head Office.
You will play a key role in supporting the smooth running of facilities administration across the organisation, ensuring records are accurate, compliance tasks are monitored, and communication is managed effectively between teams, homes, and external contractors.
This is a varied role where no two days are the same, requiring strong attention to detail and excellent communication skills.
Key Responsibilities
Coordinating and maintaining company fleet information, including servicing, MOTs, Paying Car TAX and related records
Liaising with external contractors and internal maintenance teams
Supporting the review and tracking of compliance checks and planned maintenance schedules
Providing general administrative support to the Estates & Facilities team
Monitoring emails and ensuring messages are passed on promptly and accurately
Drafting letters and documents using company templates where possible
Supporting the wider team with ad hoc duties as directed by the Estates & Facilities Manager, Assistant, Operations Manager, or Directors
Maintaining confidentiality and ensuring compliance with data protection and company procedures at all times

Experience working in an administrative role
Strong attention to detail and accuracy
Excellent organisational and planning skills
Good communication and interpersonal skills
Confident IT skills (Microsoft Word, Excel, Outlook)
Strong written communication skills
Problem-solving ability and ability to prioritise workload
