Summary

To provide an efficient, courteous and helpful reception service to patients, their families and other professionals when they contact the Preoperative Assessment Service.

To undertake various clerical duties associated with the custody and use of Health Records. This will include all administrative procedures and documentation associated with a patient’s journey through the Preoperative Assessment Service, as outlined in the Patient Access Policy.

It is expected that staff will undertake clerical duties relating to any aspect of the service.

It is expected that staff will be able to demonstrate a significant level of initiative in organising their workload and in taking decisions and action within clearly defined limits. They will also ensure the requirements of role are done in a timely manner.

To ensure patient confidentiality is maintained at all times.

To use a range of IT systems to support the Trust requirements within the Health Record field.

Respond in a professional and Courteous manner when dealing with confidential or sensitive issues.

To undertake full receptionist duties, ensuring the service is efficient and welcoming, maintaining confidentiality at all times.

To answer all incoming telephone calls and deal with as appropriate, ensuring that messages are communicated effectively and correctly.

To accurately in-put, update and amend all patient related information on to the computerised Patient Administration System (PAS).

To arrange referral or follow up out-patient appointments for patients as directed by nursing staff.

To Liaise with the Multidisciplinary team to coordinate patient treatment/appointment as instructed by the nursing team.

To cover the bookings team. Booking/cancelling/changing appointments using CareFlow when required.

To ensure that all filing is up to date.

To prepare patient notes for patients attending the Day Case Unit including patient wrist bands.

To be responsible for printing of the Day Unit electronic diary on a weekly / daily basis.

To work within identified guidelines with regards to safeguarding. To ensure safeguarding processes are followed in terms of documentation and reporting.
