Summary
An exciting opportunity has arisen for an Administrator to join our Pharmacy Administration team at Addenbrooke's Hospital, Cambridgeshire.
You will be based in the Pharmacy Department and will be required to have the ability to work under pressure, have an eye for detail, be organised and have excellent PA skills. You must be able to work independently and within the team, liaise with staff at all levels in a confident manner and deputise for the Administration Manager and PA to the Chief Pharmacist.
You will have a proven background as an Administrator with experience of working in a busy office environment.
We are able to offer the options of flexible working, full time hours.
You will possess a high level of organisational skills, data entry and have experience with call handling. You will also be able to prioritise your workload and be able to work on your own initiative, while maintaining and delivering the departmental KPIs.
You should be able to ensure confidentiality, in line with the Data Protection Act, GDPR and the Trust’s policy on Information Governance, as well as be able to communicate with colleagues and service users, in a multi-stakeholder environment.
You should have a good standard of English, excellent communication skills and be competent with Microsoft Office packages.
The main duties of the job are:
To be punctual and able to work on site during office hours to assist with the running of a busy office.
Duties will include answering telephone calls, taking accurate messages, and replying to and sending emails.
Dealing with paperwork related to staff, sending on to various departments such as Finance and HR.
Creating staff files, assisting new starters with some training and ensuring all relevant paperwork is collected and then filed appropriately.
Assisting with all office based tasks such as filing, photocopying, laminating, editing documents and use of a number of different systems which you will be given training on.
Assisting with various tasks involved with department security.
Procurement of items required for the department and also for PO creation to manage regular contracts.
Management and purchase of regular stock items such as stationery and uniforms.
Minute taking in meetings.
Distributing and managing orders that come in to the department.
Assisting all Managers and staff with admin related requests including some project work.
Assisting the SMT team with admin tasks as required.

The Pharmacy Admin Team consists of three Administrators alongside the Admin Team Manager who is also the PA to the Chief Pharmacist. We are a friendly, cheerful team, and we are hoping to find someone who has a strong work ethic, is punctual and reliable and is willing to be adaptable to the needs of the team on the day, varying tasks according to what may need to take priority on the day.
