Summary
HR Administration Support recruitment administration. Coordinate and oversee the onboarding process for new starters, ensuring all pre-employment checks, documentation and induction requirements are completed within agreed timescales. Support the onboarding process by conducting comprehensive site tours for new starters, introducing them to colleagues, facilities, safety expectations, and organisational procedures Maintain employee records. Monitor training compliance across the organisation, produce compliance reports and escalate areas of concern to managers. Monitor sickness absence trends, ensure compliance with absence procedures and prepare reports for management review. Support appraisal administration. Monitor HR mailbox. Payroll Support Coordinate monthly payroll submissions and ensure amendments are submitted within agreed timescales. Support maternity, sickness and reimbursement claims. Support ARRS claims Finance Administration Process purchase invoices using Sage. Reconcile supplier statements. Assist with month-end finance procedures. Record insurance income received. Maintain petty cash records and reconciliations. Reporting & Data Management Maintain HR and finance systems. Create and maintain Excel reports. Produce and analyse routine HR and Finance management information and highlight issues requiring management attention. Ensure all HR and financial records are maintained in accordance with GDPR, NHS guidance, organisational policies and statutory requirements Communication and relationships Liaise with members of the Practice, other NHS organisations and outside agencies as appropriate to the role. Communicate sensitively and effectively with others, using active listening and adapting communication style and method as necessary to meet their needs. Participate in meetings as appropriate. tours of all operational sites for new starters, ensuring full orientation to facilities, safety requirements, and organisational procedures. Team working Work as an effective and responsible team member, supporting colleagues in a flexible and approachable manner. Practice Development and Clinical Governance To participate in primary healthcare team meetings when required. To provide data, as requested, for practice development plans and reports. To be aware of practice policies on risk management / incident reporting and health and safety and operate appropriate procedures for minimising risk. To be aware of issues related to own development and be committed to participate in training and education. Training, learning and development Undergo regular appraisal, supervision, and training as necessary to update skills and knowledge. Provide training to other staff in work relevant to this post.
