JOB DESCRIPTION

Responsible to: Responsible Finance Officer/Deputy Town Clerk (RFO)

Job Purpose:

To provide Administration support to Redruth Town Council in general, and specifically the Town Clerk.

Scope:

To demonstrate commitment to all aspects of Safeguarding to ensure our staff, customers and visitors are safe and to discharge our duty in terms of corporate safeguarding of all.

To behave in a way that recognises the importance of organisational culture, values and accountability.

To act in a socially responsible way at all times, ensuring your behaviour, actions and decisions consider sustainability of resources, the Climate and the Environment.

To adhere to standards set to ensure health and safety at work, which includes following procedures correctly and participating in relevant health and safety training, in helping to create a safe and supportive organisation for all.

To undertake tasks as required to support the Council’s range of events and festivals as directed

Duties & Responsibilities:

1. Provide general administrative support to the Town Council, and to assist the Town Clerk with their diary, deal with any correspondence received, and draft letters for approval.

2. Assist in the preparation of agendas and papers for meetings of the Council and its committees.

3. Attend such meetings as required, take minutes, and prepare them for approval.

4. Assist in the provision of the central point of contact for the Town Council, ensuring professional and timely response to customer enquiries on the telephone, by email and via the website.

5. Work at the Welcome desk on a rota basis, to ensure all visitors to the Civic Centre are dealt with in a professional and polite manner.

6. Carry out all usual routine office duties, including the management and maintenance of office supplies; and dispatching promptly all such notices, letters and other documents as the due transaction of business of the Council shall require.

7. Accurately maintain appropriate manual and digital filing systems.

8. Ensure that all Data Protection, Health and Safety, and Risk Management procedures relevant to the Council are followed.

9. Manage the Council’s diary in relation to the use and booking of meeting rooms, and other hireable spaces.

10. Assist in the arrangements for all civic events and town festivities as organised by the Council, and any other functions that may be from time-to-time be organised.

11. Assist in the management of the Mayor’s calendar and in ensuring that responses to civic functions are sent on behalf of Councillors. To assist in the provision of hospitality, where appropriate, to ensure meetings are serviced to a high standard.

13. To be responsible for Managing the IT systems and equipment including laptops, desktops, and accessories to ensure that they are running up to date systems and are fit for purpose

14. To be responsible for managing the office and mobile telephones held by staff members and monitor usage and value for money.

15. To be responsible for ordering stationery and office equipment within an agreed budget

16. Act in a polite, professional, and capable manner at all times, as would be expected as an employee of the Town Council.

17. Undertake any other duties required by the Council consistent with the level and scope of the post.
